Summary of Role Purpose

 

This role provides executive assistance to one of our Global Heads during his permanetnt PAs materrnity leave.

Primary Accountabilities

·        Become familiar with the executive's work in order to assist efficiently;

·        Screening and organisation of e-mail box, also responding to e-mails where required;

·        Drafting and responding to personal correspondence as directed by GHD;

·        Responsible for arranging all travel and accommodation for GHD;

·        Organise detailed personal and business-related filing (paper and electronic formats);

·         Organise internal/external meetings and responsibility for extensive diary management and attend meetings to take minutes as required;

·        Monitor post event/meeting objectives and actions and provide updates to GHD;

·        Pro-active follow up to ensure tasks have been executed as previously agreed and planned;

·        Undertake any other projects/tasks as may be reasonably required to facilitate the smooth operation of the Company.

Required Skills

·        Previous experience of working in a software development/FS environment would be an advantage;

·        Previous management experience with an admin team is preferable

·        Minimum of 3 years experience in a PA/EA role for a Senior Manager;

·        A degree in hospitality, Management or business is preferable but not essential;

·        Motivated to exceed expectations

·        Relationship building skills essential for staff, customers, service providers;

·        Strong communication skills: excellent English grammar and diction;

·        Eye for detail and perfectionists view of service standards

·        Ability to manage people and service providers

·        Good problem solver - logical and reactive in response to unexpected queries/circumstances

·        Ability to represent company image values

·        Excellent organizational skills and time-management to balance multiple tasks at once

·         A good working knowledge of Word, Excel and PowerPoint is required.

·        Confident, and able to take initiative given client– and delivery-focused environment;

·        Independent, self directing and delivery focused working style;

·        Good team communication skills, confident in dealing with internal and external clients;

·        Highly developed written and oral communication skills;

·        Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines

·        An understanding of confidentiality issues and the use of discretion
