JOB FUNCTION: The primary responsibility of the Training and Documentation Specialist is the management of the team's documentation training materials. These activities include working with both the immediate team and partner organizations to support standards consistent with requirements for Quality, Document Control, and Training and Records functions. Maintenance and management of department SharePoint environment, pages and content will also be included. This role will be responsible for supporting a large government facility, as well as several other smaller sites within the Washington Metropolitan Area. MAJOR DUTIES AND RESPONSIBILITIES: As the Training and Documentation Support Specialist, one must be able to: Specialist will report to the Business Process Manager and will support all Document and Team Training related data / activities, to include data entry. Provide support which will align with AECOM's group policy and principles, and best practices to the benefit of the company. Assist Maintenance Leads with Preventive Maintenance Activities by maintaining related PM Process documentation. Assist Administrators with generation of reports to track related Facility Support and Operational efforts throughout the organization. Setting up maintaining the structure, content and process for purchasing documentation and records management. Managing documentation associated with policies, procedures, processes, forms training. Creating maintaining SharePoint documents, maintain department SharePoint environment, and document structure. Work with Quality Assurance to establish the process for documentation change management including periodic reviews, updates, releases, archives and communications. Supporting document creation, critical review, format, links, properties using various programs (Word, PowerPoint, Excel, SharePoint, etc.). Assist the Preventive Maintenance Support Specialist with report generation and definitions Undertake special projects as requested and perform other job-related duties, as needed. REQUIRED QUALIFICATIONS: - Strong background and knowledge in supporting maintenance activities in an engineering or manufacturing industry. - MAXIMO experience desired. - Strong interpersonal skills and ability to deal with others in a positive, customer focused manner. - Working knowledge in documentation management and administration. - Strong working experience with MS Office programs and web pages/sites (Excel, Word, PowerPoint, Outlook, InfoPath, SharePoint, etc). - Ability to adapt to frequent change and a hectic/fast paced work environment. - Demonstrated ability to work with cross-functional teams and success in developing new working relationships. - Ability to communicate effectively, both orally and in writing. EDUCATION: Bachelor's degree or equivalent job experience with emphasis on business administration, technical writing, communication or computers/programs. EXPERIENCE: One to three years experience in a similar function, preferably in a facilities maintenance environment as either a data entry clerk or administrative support clerk. PREFERRED QUALIFICATIONS: Customer Service experience Experience working within a Facilities Management environment Two or more years of Administrative Support related to Facilities Maintenance Programs Three years or more of working computer experience (data entry) Working knowledge in creating, editing, formatting online/web documentation records.
