Accounts Payable Supervisor Job in Wheeling, West Virginia US

The Accounts Payable Supervisor will oversee a team of Accounts Payable Clerks to ensure the efficient, accurate, and timely processing of payables in accordance with established guidelines and procedures. This person serves as principal point of contact and resource for questions and issues related to Accounts Payable department.

Job Responsibilities:

Utilizes expert knowledge to monitor compliance with established policies and procedures. Performs secondary review of invoices and check requests for accurate coding and approvals, providing guidance and training to requestors or AP staff as needed.

Responsible for workflow among the AP team, ensuring payment standards are maintained according to Firm guidelines. Ensures coverage across all AP functions during periods of peak load and staff shortages.

Oversees escalation for complex questions and resolution of issues relating to client disbursements, invoices and expense reimbursements.

Facilitates communication among client's Finance departments and between functional departments and AP team.

Assumes primary review responsibility for set-up of new vendors. Ensures vendor records are established in compliance with Tax and other reporting requirements, including proper tax identifier information, and between functional departments and AP team.

Undertakes research of more complex monthly variance and analysis items. Provides data related to annual budget and forecasting.

Responsible for completing various transaction types such as vendor invoices, client disbursement and employee expense reimbursements.

Assesses process improvement opportunities proposed by AP staff and works with National Account Manager to implement and realize improvements in service and efficiency.

Manages primary client contact relationship in conjunction with National Account Manager.

Assist in managing the disciplinary process, ensuring that performance feedback is given to employees in a timely manner and consistent manner and documented in line with company policy.

Assumes additional responsibilities as requested.

Requirements

Job Requirements:

Associates Degree preferred

2-3 years of related financial experience in a professional service organization; law firm experience preferred.

1-2 years previous supervisory experience preferred

Prior knowledge of financial systems Aderant Expert or CMS

Proven customer service skills required in order to create, maintain and enhance client relationships

Excellent organizational skills and ability to manage multiple assignments simultaneously.

Ability to maintain confidentiality of sensitive materials/documents.

Attention to detail, time management and problem solving skills.

Strong written and verbal communication skills necessary, must be proficient in MS Office and expert in spreadsheet software applications.
