Key responsibilities

Primary: To run, under the direction of the Head of SARA, the process for all the documentary obligations under MG's Code of Ethics (-CoE'). The CoE is a firm-wide set of rules, required by MG's regulators, that apply to staff's personal dealing, their outside interests and affiliations and the receipt and provision of gifts and hospitality

Secondary: To provide admin support generally to the Senior Managers and their teams in the Compliance department.

Key Accountabilities
The individual will work as part of a team responsible for:

- Ensuring the CoE processes are administered efficiently to ensure all staff comply with CoE or that exceptions are appropriately escalated. This includes, but may not be limited to, administering the quarterly and annual return processes, managing new starters and leavers for inclusion in the process, dealing with staff queries on the process and co-ordinating communications and training both with outsourced suppliers and with the Senior Managers in the Compliance department. This part of the role is expected to account for less than 50% of the job holders time
- Providing general administrative assistance for the Senior Managers in the Compliance department and the wider team. This will include a variety of tasks including:
- Recording and tracking of staff holidays for the department
- Diary management, when needed for senior managers, team meetings etc including room booking
- Expenses claims
- Managing external visits, timetables and information requests (e.g. RBS trustees annual visit or FSA requests) under direction
- Managing (and improving) the filing system both manual and electronic, inclusive of archiving responsibilities for the team
- Supporting the teams' stationery, system and other office requests as required
- General support to Senior Management Team including, where appropriate, preparing agendas, distributing reports, collating information for management etc.
- Maintenance of the departmental Business Continuity/Disaster Recovery procedures e.g. staff contact details
- Update/maintenance of Compliance intranet site - Any other similar duties as need and capacity allow as directed by the Senior Managers in MAGIM Compliance

What we are looking for

It is envisaged that the successful candidate will have some administrative experience. Any experience with regulatory processes such as a Code of Ethics in a similar firm would be highly desirable
