Administrative Assistant Job in Blue Bell 19422, Pennsylvania US

As a member of the Operations Team, the Administrative Assistant will provide support to senior level executives and management team members.  This is an excellent opportunity to obtain exposure to all departments within a consulting organization.  Duties include general administrative, receptionist and project based work.  PriceSpective, an ICON plc Company, is a fast growing organization with a dynamic company culture.

 

PRIMARY RESPONSIBILITIES

 

Administrative Support

·         Assist Partners, Blue Bell staff and inbound travelers with all domestic and international travel arrangements.  Coordinate overseas travel with UK counterpart.

·         Plan and make all arrangements for U.S. based company sponsored meetings including travel, accommodations, meeting space, meeting preparations, meals and entertainment.

·         Maintain schedule for Philadelphia Condo and arrange cleaning and other services as necessary.

·         Perform general clerical duties to include but not limited to: printing, binding, photocopying, faxing, mailing, and filing.

·         Answer telephones and transfer to appropriate staff member.

·         Meet and greet clients and visitors.

·         Maintain hard copy filing system.

·         Arrange for and distribute all company printed materials including business cards and stationary.

·         Prepare outbound mail and sign for and distribute Mail/UPS/Fed Ex/Airborne packages.

·         Maintain staffing project assignments on tote board.

 

Human Resources Support

·         Support global recruitment activities: post job openings, schedule interviews, assist with the coordination of on-campus recruitment events.

·         Assist with the on-boarding of new hires by processing new hire paperwork and scheduling orientation sessions

·         Coordinate training sessions and maintain employee training records

·         Assist with the annual benefits open enrollment process

·         Maintain organizational charts and paid time off tracking system

·         Update employee handbooks and manage HR Intranet page

 

Facilities

·         Coordinate with Blue Bell landlord for services as needed and provide general support to maintain physical plant.

·         Research, price, and purchase office and kitchen supplies.

·         Maintain kitchen, receptionist and conference room areas.

·         Coordinate and maintain records for staff office space, phones and office keys.

 

Finance Support

·         Coordinate with senior level executives concerning their expenses within the companies expense management system

 

**Other duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

 

·                     Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.  Bachelor’s Degree is a plus.

·                     Minimum of 3-5 years’ experience in administrative support including travel functions.

·                     Knowledge of professional telephone protocol and office etiquette.  Duties require strong verbal and written communication skills.

·                     Strong working knowledge of Microsoft Outlook, Word, PowerPoint and Excel.

·                     Ability to work in a fast paced environment and multi-task effectively.

·                     Excellent organizational skills and attention to detail.


A positive attitude and the ability to be flexible is required.  On occasion, the position may require evening or weekend administrative support.
