Administrative Assistant, Sales & Client Services recruitment
Responsibilities
- Prepare, update and maintain documents, memos, PowerPoint presentations, contact lists, directories, files
- Handle and respond to correspondence and phone calls
- Handle photocopying, printing, mail and document distribution, etc.
- Open and prioritize mail
- Order supplies and equipment for department
- Frequent interaction with SP capital IQ and McGraw-Hill senior executives
- Administration of PMP, vacation and attendance records
- Oversee and update calendar for the VPs/MDs and schedule all necessary meetings
- Arrange domestic/international travel itineraries and coordinate travel and meeting plans for the departments
- Function as the backup for 2 additional MDs in the absence of their administrative assistants
- Prepare monthly Travel Entertainment expenses for 3 VPs/MDs
- Prepare monthly Procurement expenses
- Manage Procurement cards for 3 business units comprised of 15 separate cost
- Handle urgent situations for the VP/MDs and their direct reports
- Focus on confidentiality of material in Compliance environment
Qualifications:
- 5-7+ years broad range experience at the Executive Administrative Level
- Knowledge of Standard Poor’s terminology and documents
- Ability to track and manage numerous statements of work (SOWs) and interact with business unit controllers and project leaders to track and report results
- Ability to learn , implement and teach other assistants on how to use the new Concur TE
- Ability to manage request to hire for a business unit, including tracking and reporting throughout the approval process
- Prepare monthly capital expenditure reports when necessary
- Responsibility for 10-15 request per month on the corporate facilities website
- Coordinates all moves for two floor and provide the move committee with all necessary information as to who is moving, where they are moving too, phone numbers and the equipment they are taking
- Handle changes and signatures for the quarterly management representation letters across the business unit
- Continues to support multiple VPs/MDs within a business unit
- Possess excellent organizational and communication (oral and written) skills mandatory. This is a highly visible position which interacts with individuals at all levels within the organization
- Professional phone manner and demeanor and excellent interpersonal skills are necessary
- Must be able to work in a fast-paced team environment and to work independently, as well as work on projects as required
- Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
- Proficient in XP Word, Excel, Lotus Notes, Outlook, PowerPoint and Internet
- Ability to perform basic financial research on CapitalIQ platform
- Possess familiarity with foreign currency conversions is a plus
- Ability to multi-task and prioritize work as needed; work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines; must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
- Self-starter/ independent worker; capable of working with daily minimal supervision
