Archives Assistant Job in Bristol, South West UK

Archives Assistant required to join Bristol based law firm.

Sat within the Facilities team, the role will include:
Arranging storage and retrieval of all client files, Deeds, Wills, Probates and all archived documents using appropriate software packages.
Dealing with any client queries, searching for relevant documentation, assessing documentation and preparing schedules
Maintaining accurate records of all archived documents
Efficient delivery of requested documents to all members of the firm as requested
Liaising with storage providers
Dealing effectively with telephone calls, emails, and face to face contact with internal clients
Dealing with physical tasks such as collecting Deeds from the basement, moving boxes/files
Providing support in other areas of Facilities as required.
Maintain complete security and confidentiality
To provide a high level of customer focused administrative support to all employees and clients.
Liaising with storage providers
Assisting with file destruction in accordance with the Firms' procedures and policies

Knowledge, skills Experience:
Demonstrates a good understanding of the role of administration within the firm
Has a high level of customer service and the ability to deal professionally with external and internal clients, at all levels, face to face and on the telephone
Has a good understanding of Word, Excel, Powerpoint and document management systems and the ability to quickly gain skills in other internal computer systems
Has an excellent attention to detail and is able to produce high quality documentation
Can organise and prioritise work, without direct supervision,
A flexible approach with the capacity to take on a variety of tasks, often with strict deadlines
Has the ability to develop new ideas and ways of working
Demonstrates a good understanding of the role of archives within the firm
Previous experience of working in an archive department would be preferable either in a law firm, library or other professional environment
Excellent organisational skills with strong attention to detail. Especially necessary for when preparing documentation/schedules relating to the deed packets
Confident and professional communicator for when dealing with external clients over the phone

Monday - Friday 09:00 - 17:00
£14,000 - £15,000 DOE
