- To deputize the head of department when required
Your role
- To be hands on in System admin control ie. Access card system
- Oversee the team in Mailroom, Reception to ensure smooth daily functionality including stationery orders, pantry orders, printing requests, review of offsite document storage records.
- To ensure the leave schedule of the team.
- Review and vetting of maintenance contracts and service agreement to ensure favorable terms and conditions are adopted.
- To deputize the Head of Administration managing and supervising the department's staff in ensuring a smooth daily operation.
- To share knowledge and groom fellow colleagues to be a more effective workforce and to foster greater team spirit in the department.
- To deliver significant and measurable cost reduction in the area of responsibility.
- Overseeing video conferences hosted by Hong Kong Corporate Communications.
- Coordinate with Hong Kong office on events taking place in Singapore.
- Vendor management - to maintain and update the summary of service agreement, contracts, service provider details.
- Participate in global purchase organized by Head Office for Singapore.
- To manage and oversee expats (NIMP) relocations, tenancy matters, temporary accommodation and review of leases.
- To source for more options in temporary accommodation
- To review and update the documents in Admin safes in accordance with Audit requirements.
- Exercise proper control on the issuance of blank cheques and other critical documents.
- Monthly verification of sensitive accounts for Permanent Supervision against accounts receivable for security deposits.
- To participate in office renovation projects when required.
- To endorse invoices and claims by observing HR NIMP policy.
- To work with HR on clarification of expats' claims related to educational, and tenancy matters.

- General administrative knowledge
- Security and internal control knowledge
- Knowledge of security features of various systems
- Good PC skills
- Good inter-personal communication skills
- Good ME knowledge
- Minimum a diploma from a reputable polytechnic
