Associate, Facilities & Administration Manager (Corporate & General Services) recruitment

RESPONSIBILITIES

Technical

• Perform assessment on M E systems to ensure system health, operational performance and safety;

• Continually review and manage the preventive and corrective maintenance of facilities by term contractors to achieve optimum availability at minimal cost;

• Prepare project specifications and manage contract agreements for out-sourced services related to upgrading and rectification works;

• Conduct performance reviews of Term Contractors to ensure optimal return at reduced costs and to keep current proper agreements and records.

Administration

• Deliver effective management on system administration control, security access, sensitive documents and records in compliance with regulatory and audit requirements and execute directives on global purchases with integrity;

• Actively analyze progress updates, identify potential gaps and propose solutions with team members on offsite document storage, video conferences, mailroom, reception and company events;

• Continually review operational systems, processes and policies to improve management decision-making, reporting, information flow, planning and cost-savings;

• Keep current a summary of ancillary services on education and housing for expatriate staff to facilitate smooth assimilation;

• Be vigilant on verification of claims and invoices and keep sound records of projects and budgets.

REQUIREMENTS

• Diploma/tertiary education in engineering, facilities or estate management;

• At least two years hands on experience in M E, with strong experience in security, preferably in commercial buildings;

• Good administrative experience is a pre-requisite

• Working knowledge of regulatory requirements;

• Meticulous, able to multi-task and eager to learn;

• Strong team player with initiative, good communication and interpersonal skills;

• Proficient in MS Office applications.
