Our Americas Distribution is currently seeking a Client Service Specialist to join our team. This position is based in Stamford, CT.
Key Responsibilities and Duties Include, but not Limited to:
- Effectively and efficiently manage each client interaction from first contact to resolution;
- Liaise with other departments within the organization as well as affiliates, custodian banks, transfer agents relating to client inquiries and problem resolution;
- Review new accounts documentation in Spanish, Portuguese and English for accuracy and completeness;
- Manage multiple inbound/outbound client support channels (i.e. phones, email, website, faxes, etc);
- Assist clients in monitoring and handling request in their accounts via (phone, email, etc);
- Provide client support on the trading software platform;
- Investigate and respond to any client account inquiry including but not limited to; dividend reconciliation, Fed wire or SWIFT reference numbers, transactional errors, statement/confirm questions, tax reporting, etc.;
- Maintain high quality service in supporting client telephone calls, faxes and electronic mail;
- Adherence to all external (SEC, IRS, NASD etc) regulations and internal policies and procedures;
- Adherence to fund trade cutoffs times;
- Timely processing of fund related transactions including but not limited to; new accounts, purchase, redemption, or other transactions;
- Provide fund or account related information as requested:
- Perform quality control review over the transfer agent transaction entry;
- Daily service metric reporting;
- Initiate client money transfers via web tool;
- Complete audit requests for institutional accounts;
- Report large transactions to portfolio managers;
- Research wire discrepancies and provide Fed Reference Number to institutional clients;
- Produce various client documents as requested - i.e. duplicate confirm, duplicate statement, tax reporting, dividend reconciliation, etc.
Ideal Qualifications Experience:
- Bachelor's Degree in accounting or finance required;
- 1-3 years of client service and mutual fund related experience desired;
- Enthusiastic team player and self starter with ability to prioritize and work in a fast-paced environment;
- Fluency in English and Spanish required; Portuguese desired;
- Excellent communication and client service skills;
- Strong customer relationship management and servicing skills as well as internal corporate relationship management capabilities;
- Strong interpersonal skills;
- Detail and results oriented;
- Strong analytical and organizational skills and detail oriented;
- Microsoft Word, Excel, and Outlook proficiency;
- Must take Series 7 exam within first three months of employment. Must obtain Series 7 63 within first six months of employment.
