Corporate Services Description
The Corporate Services Asia division is responsible for the daily office operations of 58 locations across 13 countries with a 2 MM Square foot portfolio. Standard office hours are 0900 to 1800 hours, but coverage is extended on a 24 x 7 basis as required to meet the Firm's needs. Corporate Services strategic plan is to anticipate and provide the space and supporting services for internal business units. The organization employs a matrix management structure with specific office needs delivered by local management and the functional teams support the local management by providing expertise across six major areas:
• Corporate Real Estate manages a flexible portfolio to align real estate assets with the Firm's business plan
• Travel provides transportation / lodging services in an efficient and cost-effective manner
• Corporate Information Management is comprised of Business Information Services (BIS), Creative Services, Reprographics and Printing, Mail and Distribution, and Records Management
• Property Management Group consists of Project Management Construction, Design and Engineering, and Property Services
• Operations/Administration supports Corporate Services and the Firm with financial analysis, risk management, and strategic analysis while providing oversight of client relationships
• Business Continuity Management provides business continuity planning and management
Responsibilities
Beijing Office Assistant Technical Manager maintains responsibility for the management of critical and general office facilities of Morgan Stanley's offices in Beijing, overseeing Zhuhai facilities initially with the possibility of further locations in the future. The role primarily involves the management of the technical teams in Beijing and oversees Zhuhai technical service.
Overall responsibilities are as follows:
Team Building
• Improve technical skill level within the team
• Manage the team performance of all day to day facility operations within the areas of responsibility
• Provide leadership and prioritize initiatives focused on client services, value delivery, system reliability, efficiency / cost control, training, budget / project planning
Coordination
• Liaison with Regional Property Services Manager, Shanghai Technical Manager to ensure consistency of procedures
• Coordination with CS Project Management team regarding construction projects
• Manage a strong working relationship between local customer needs and the regional team members
• Promote Corporate Services; generate effective communications, good relations, and a positive image with clients, suppliers, and co-workers while promoting courtesy, diversity and fairness
• Work closely with Information Technology (IT) to ensure seamless services for internal clients
• Report and communicate to CS management
• Authorize services, monitor metric reporting, and enhance accordingly
Operational Management
• Resource planning to ensure size and structure of branch teams is aligned with real estate and business growth projections
• Develop and manage annual operating budget for regional properties in conjunction with branch technical contacts
• Ensure operating procedures and standards are followed by outsourced service providers
• Monitor Shanghai office Comms Room capacity
• Plan, implement manage churn projects work
• Vendor management
Risk Management
• Improve implementation and adherence to standard procedures
• Continual process review and auditing to improve risk management and cost efficiencies
• Monitor critical equipment reliability and age
• First regional escalation point for branch office facilities incidents, 24x7
• Coordination and communication of incident response
Skills Required:
Prospects for this position will have demonstrated the ability to manage and interact with staff at all levels in the Firm. Accordingly, the individual must be a proven leader capable of building and managing small teams and achieving results - a driver of change. The successful candidate will have at least 7-10 years experience in managing, operating or designing critical environment. In addition, experience working abroad and a wide range of industry contacts is beneficial.
• Language: English and Mandarin fluency is required
• Communication skills with Client, Vendor, People and Performance Management: Excellent cross-cultural general communication skills in English and Mandarin for verbal, written, reporting and presentation skills
• PC Skills: Microsoft applications (Outlook, Excel, PowerPoint and Word)
• Previous exposure to Investment Banking or premium client service would be an advantage.
• Experience in remote management of teams.
• Other characteristics: Strategic thinker, analytical, problem solver, team player, self motivated, innovative, optimistic and attention to detail
o A self-starter who is comfortable working in an environment across regional offices and inspires the trust and confidence of local and regional management
o Demonstrated track record meeting financial business plans, budgets, and project schedules. Broad knowledge of property services finance with a high analytic aptitude.
o Strong problem solving skills with an ability to derive innovative solutions and act as a change agent for the division.
- School degree: Qualification in engineering or building science with formal qualification or training in Facility Management and formal management training
• Strong credentials with a minimum of an undergraduate degree are required; a post-graduate degree is a plus
