Role Summary
Based in Toronto the Director, Operations is responsible for the oversight of the general operations and the delivery of business services in support of the Real Estate Investments (REI) department. This includes to the establishing, maintaining and monitoring compliance of REI policies and procedures; reporting (i.e. development, management and coordinate performance measurement, financial and management reporting for REI and Corporate) and tax structuring including the on-going compliance in conjunction with investment teams, internal tax and external advisors.
The position plays an important role in the success and future development of the REI by summarizing information on individual assets and consolidating group portfolios into meaningful data, analysis and reports that can be used to guide and advise the REI Management and teams and the Board of Directors on the overall performance of the investments and the portfolio. In addition, this role ensures systems and processes are implemented to support the delivery of timely and efficient services and information to CPPIB and REI. The incumbent works closely with the REI Senior Management team, CPPIB, Total Portfolio Management, Treasury, Risk, Operations Technology and Tax groups to ensure alignment and coordination amongst the departments.
Role-Specific Accountabilities
Department Policies and Procedures:
Leads the development, maintenance and monitoring compliance of department policies and procedures and ensures appropriate desk practices are established including responsibility for:
- Development, review and communication of department policies and procedures documents, ensuring consistency with and appropriate integration of CPPIB’s “Authorities” policies
- Communicate and ensure compliance with internal controls and department procedures pertaining to daily operation of the department
- Ensuring establishment of desk practices consistent with the above procedures
- Ensuring appropriate storage and retention of investment related materials
Reporting, Business Planning General Operations Oversight:
Leads and coordinates planning, monitoring and reporting of REI business activities including responsibility for:
- Develop appropriate formats to assist the asset and portfolio management functions, utilizing that as the basis of consolidated reporting to Senior Management and the Board of Directors
- Coordinating performance measurement, financial and management reporting within REI and between REI and Corporate
- Design, produce and disseminate regular REI control and management reports
- Coordinate and assist in the preparation of REI reporting for CPPIB Executive and Board meetings
- Preparation of annual business plan in coordination with REI Management Team
- Preparation of accompanying expense budgets consistent with requirements delineated by Management Reporting Analysis
- Communication of planned initiatives and priorities as well as collaboration with non-investment departments in support of these objectives and to ensure sufficient resourcing prioritization
- Ongoing monitoring and communication of financial results in this regard
- Review of department objectives and achievements against plan intentions and monitoring of deviations
Co-ordination of REI business and tax support:
Leads and coordinates planning, integration and monitoring of non-investment department services including responsibility for:
• Coordination with Tax Department to ensure tax structuring is adequate tax risk management protocols are established and on-going monitoring and compliance with the investment teams, the internal tax department and external advisors
• Review and monitoring of Information Technology initiatives and establishment of priorities
• Co-ordination with the Tax Department to ensure adequate tax risk management protocols are established, maintained and monitored
• Co-ordination of internal and external audit activities
• Reviewing and ongoing monitoring of data access, usage metrics and implementation of common data platforms with Data Management
• Spearheading, management and implementation of business process improvements and key strategic projects as required
Management and Leadership of REI Operations Team:
Leads, develops and drives organizational performance establishing clear plans and department priorities for their direct reports
If you possess the following, we’d like to hear from you:
• 10+ years of real estate investment industry business experience, in depth knowledge of activities and processes
• Post-graduate or professional designations are an asset (MBA or CFA or CA)
• Financial management reporting experience, strong financial knowledge and background
• Demonstrated superior interpersonal and relationship building skills; solid communication and presentation skills (oral and written)
• Self starter with creativity and drive to develop and expand support services to growing portfolio
• Team player with strong service approach, flexibility in approach to accommodate global platform
