Position Responsibilities:
Manage day-to-day support for Executive Director in Information Technology, Consumer Mass Business, PMO and Business Operations Support. The Executive Assistant – works both with limited direction from the Executive Director and independently managing multiple time-sensitive projects/deliverables at all times ensuring all are met and/or exceeded. Responsibilities including but not limited to:
• Management of scheduling ensuring adequate coverage on all business critical meetings and ensuring schedule permits that coverage including monitoring of emails, visitors, and phone calls.
• Foster positive working relationships with all Information Technology teams and business partners to ensure solid communication of meeting and deliverable needs to support team's adherence.
• Communication with entire Information Technology – Consumer Mass Business, PMO and Business Operations Support team to share information, highlights, deliverables, and/or gather information.
• Support travel itineraries needed including scheduling, placement of information on calendar, and adherence to expense policies.
• Facilitate scheduling, agenda, meeting notes and follow-ups for Executive Director staff meetings and forums.
• Support the on-boarding of new employees or contractors including but not limited to getting appropriate system access and space.
• Prepare correspondence, reports, presentations, and agendas via utilization of the appropriate Microsoft Office tool.
• Ad hoc projects as assigned.
Required Skills Experience:
• 5+ years Administrative Assistance experience; preferably at the executive level.
• Bachelors degree or equivalent work experience (First consideration will be given to those with a degree)
• Demonstrated ability to meet and exceed deadlines.
• Solid organization skills including follow-up and follow-through.
• Strong oral and written communication skills with experience in influencing others.
• Microsoft office expertise including Word, Excel, PowerPoint, Outlook, Project, Access and Visio.
