Executive Assistant / Business Manager recruitment
As part of the UBS Wealth Management Legal and Compliance (LC) department in Singapore, you will perform the role of Executive Assistant | Business Manager, supporting the WM General Counsel South East Asia | Head of Litigation APAC and the Head of WM Compliance Singapore and WM Legal Compliance India
You will be involved in a wide selection of activities ranging from traditional executive assistant work, responding to immediate ad hoc issues and projects, budget planning and reviewing costs, to facilitating inspections.
Key tasks and responsibilities include:
- Assist to manage and coordinate the senior managers' diaries, attend to telephone calls and queries, and arrange conference calls, meetings and travel bookings
- Manage the junior team assistant to ensure that all general a administrative tasks for the WM LC team consisting of around 20 members are effectively performed.
- Collate LC inputs for management meetings, and update and produce reports and documents as required with Word, Excel and PowerPoint
- Process external invoices and manage the legal budget locally as well as regionally, and produce report quarterly
- Coordinate logistics for Inspections and Audits, and manage the record of regulatory correspondences and meetings
- Coordinate and manage of departmental documents, team leave schedule, and various system access, and conduct regular reviews
- Arrange logistics and provide administrative support for visitors and, logistics coordination for new joiners and leavers
- Organize events, workshops and conferences, and work closely with IB colleagues for cross-divisional events.
Requirements:
Our ideal candidate should have the following requisites:
- At least 5-10 years of relevant experience in a large organization preferably at a financial institution, multi-national company or law firm
- Strong organizational and administrative skills
- Strong knowledge of Microsoft suite applications, especially PowerPoint, Excel and Word
- Good team player with strong communication (oral and written) and interpersonal skills in order to liaise with members of the organization at all levels
- Able to work under time pressure and support the whole team and able to operate independently and efficiently in a fast paced environment.
