An exciting opportunity has become available for an Executive Assistant to provide administrative and operational support to the Head of Head of Finance, Head of Wrap and Chief Investment Officer.
Your main responsibilities will include but are not limited to:
- Diary management
- Plan and manage all travel and accomodation for execs, ensuring cost effectiveness.
- Manage travel, accomodation, catering and venue requirements for conferences, meetings and functions hosted by execs, ensuring cost effectiveness.
- Manage the receipt and payment of invoices.
- Monitor and report exec expenses to ensure cost effectiveness.
- Screen telephone calls, field enquiries, proactively manage requests.
- Escalate urgent matters.
- Manage technical equipment requirements.
- Communicates and/or co-ordinates execs instructions with various individuals and/or departments.
- Produce general correspondence, presentations, reports etc of a confidential nature, on behalf of executives.
- Maintain hard and soft copy filing systems.
- Identify and act on opportunities to improve effectiveness and flow of office activities.
- Provide central co-ordination and 'help desk' services for office administrative and operational services.
- Act as central liaison point for communication between executives and direct reports ensuring harmonisation and consistency of information.
- Ensure all travel arrangements are within company policy.
- Maintain confidentiality where required

The successful applicant will strongly match the following criteria:
- Proven experience in an executive assistant position within the banking financial services industry (essential)
- Demonstrated ability to manage priorities and conflicting issues in a professional manner.
- Experience in administration within a fast paced environment
- Proficient in Microsoft Office Programs.
- Able to use intiative.
- Be proactive by taking action and being persistent in addressing issues.
- Able to build strong, open and collaborative working relationships
