EDUCATION
Bachelor Degree Preferred
SKILLS EXPERIENCE
- Minimum 3 years or more administrative experience, preferably at the executive level and preferably in a sales organization
- Ability to work congenially with management, employees, customers, and vendors.
- Proficient at MS PowerPoint, Word, Outlook, Adobe Acrobat. Advanced skill set in Excel necessary.
- Ability to maintain confidentiality
DUTIES AND RESPONSIBILITIES
- Work with accounting to extract necessary information that will in turn support various sales reports (operations, monthly, board of directors, etc). This includes preparation of various charts and tables using the data provided by accounting and the sales organization.
- Monitor schedule the sales and technical department for various activities (training rotation, report deadlines, travel needs, vacation, expense reports, etc.)
- Collect team’s biweekly reports and summarize for both the sales technology groups. Monitor project status and ensure that all necessary databases are updated upon project completion.
- Monitor and execute JSR Web site requests for information and purchases.
- Schedule and attend sales meetings throughout the year at the Corporate Headquarters in Sunnyvale or off-campus sales meetings:
- Reserve air and travel accommodations for sales force and guests, investigate and reserve a restaurant for each evening, plan events that are conducive to the area we are visiting and reserve a meeting room with a planned breakfast and lunch. Hire a docent to explain origin and historical aspects of the area we are visiting.
- Facilitate internal communication between sales, technology, and customer service teams as necessary.
- Maintain the office and general duties that are necessary to ensure a professional organization for sales, customer service, and the technology group.
- Work with various task force teams as needed as a representative of the sales/technology group.
- Manage the holiday activities (cards, gifts for customers, etc), periodically help coordinate sending gifts to key people at given corporations to keep the JSR name, forefront.
- Schedule appointments for the VP of Sales, avoiding scheduling conflicts.
- Make suggestions to management for improving this position, or improving work processes.
- Work safely by observing safety rules, policies and procedures. Identify unsafe conditions or actions to my supervisor.
