Position Description:
SunGard's asset management solutions help institutional investors, hedge funds, private equity firms, fund administrators and securities transfer agents improve both investment decision-making and operational efficiency, while managing risk and increasing transparency. SunGard's solutions support every stage of the investment process, from research and portfolio management, to valuation, risk management, compliance, investment accounting, transfer agency and client reporting.
Working within the Asset Management segment, the Executive Assistant will be responsible for:

• Management of the President's (and Senior Management team where necessary) diary and appointments
• Assist President manage output, workflow and office deadlines
• Answer and relay accurate and timely messages from clients and customers to the President, and answering queries where possible
• Collect and open all mail addressed to the President, and manage outgoing post
• Preparing agendas and taking minutes for President's meetings
• Draft, type and dispatch the President's correspondence
• Arranging off-site meetings, including working with hotels to secure rates and availability; liaising with all parties to ensure attendance and accommodation. Some attendance at events required
• Co-ordinating President's and Senior Management team's travel in conjunction with in-house travel policy, including arranging visas, passport renewals, transfers, etc.
• Managing and maintaining the Segment Organisational Charts
• Setting up conference calls and webex's
• Audio Typing
• Preparing presentations and reports
• Attending Business Continuity Programme meetings when requested
• Provide ad hoc office administration support to the segment staff
• Supervise the office manager
• Other duties as requested by the President

Position Requirements:
• Previous experience working within a Executive Assistant/Personal Assistant capacity is essential
• Excellent administration skills with high level of attention to detail, as well as the ability to identify opportunities to improve processes
• Excellent verbal and written communication skills - ability to interface comfortably with clients and staff at all levels of the organisation
• Proficient with the use of Microsoft Office suite
• Well organised, with good follow up skills
• Flexibility and desire to be involved in a broad range of administrative tasks
