Job Description

To provide comprehensive executive/administrative support to the Head of GM and limited support to Traders of Standard Chartered Bank, Americas. Covers multiple complex responsibilities in order to ensure smooth running of the Head's daily agenda and handling of priorities. This is a high profile role in representing the Head of GM, the banks largest income generating department in the Americas.

Key Roles Responsibilities

- Outlook: Monitor e-mails, respond on behalf of Head of GM, Americas and manage the calendar/schedule to facilitate an efficient and productive day. Work as a liaison between Head of FM and entire Americas FM Team.
- Meetings: Gather documents for meetings and trips including account plans, call reports, presentations, resumes client related materials.
- Office: Assistant in maintaining an organized office by filing, update binders with monthly meeting notes and presentations, and follow the clean desk policy.
- Travel: Book travel reservations, coordinate scheduled visit for Head of GM, coordinate meetings and prepare a comprehensive itinerary for each trip. Follow company travel policies. Review itineraries submitted to Head of GM for approval to make sure they are cost effective and follow bank policy. Document itineraries for expense report.
- Expenses: Prepare and process expense reports, review all reports before submitting for signatures and settle invoices in a timely manner to HR accounts payable.
- On board/Off board staff: Raise all IT tickets for ID creation, hardware procurement, new hires, leavers and all misc requests for the Head of GM and the Traders. Seek approval from appropriate business heads. Follow RMS's until completion in a timely manner.
- Dealing Room: Along with sales/trading staff prepare presentations (including binding) and pitch books for clients. Scan/file/fax/print/copy documents, mail items, distribute mail, handle personal correspondence, and organize conference calls. Work closely with WB Marketing on client events.

Qualifications Skills

Experience with administrative support. Proficient with MS Office.
