Executive Legal Assistant Job in Edmonton T5M3S2, Alberta Canada
We are currently recruiting for an Executive Legal Assistant in our Corporate Office in Edmonton, AB.
Position Overview:
This is an opportunity to join our Legal Team and provide administrative and secretarial support to the Vice President, Legal and Corporate Secretary and the Legal Department, and assist in the day-to-day operations of the Legal Department.
- Prepare and draft various legal documents and correspondence
- Code, arrange, and record invoice payments
- Contracts and release database to be maintained
- Maintain and update various internal summaries, including file lists, project summaries, departmental expenses etc.
- Prioritize high volume of mail and phone calls
- Effect and maintain securities and insider trading filings
- Open and close legal files; update legal subscriptions
- Research statutes and legislation, as well as case law, points of law etc.
- Multi-task, prioritize and keep pace in a high volume department
- Assist with legal due diligence
- General office duties, i.e. mail, filing, faxing, photocopying, and answering telephones
- Maintain diary system for Legal Services
- Update department on rotating Brick procedures and implementation of procedures
- Flag and track status of day-to-day issues, correspondence and requests
- Conduct various searches and registrations
- Assist General Counsel and Manager of Legal Services with special projects as requested
- Prepare Board of Director expenses and director fees
- Assist in preparing Board of Director meeting packages and provide travel and other assistance to Board of Directors
- Assist Corporate Secretary in hosting Board of Director meetings
Knowledge Skills Required:
- Exceptional PC skills, including the use of Microsoft Word, Excel, and Outlook
- Ability to work well both independently with minimal supervision and in a team environment
- Exceptional written and verbal communication skills
- Excellent organizational, time management, and client skills
- Work well under time pressures
- Cheerful and positive
Education Experience Required:
- 5 years Administrative/Executive Assistant experience at a senior level
- Formal legal secretarial and/or paralegal training is an asset, but not required
