Overview
Group Tax’s primary task is to efficiently manage the Bank's worldwide tax positions and risks. This ranges from pure compliance with local tax obligations, settling tax audits and disputes to even occasionally working with governmental bodies on development of legislation. The Sydney-based team comprises up to 9 employees.

Our mission implies close cooperation across all business lines in developing the Bank's products and creating efficient corporate structures. Given the complexity and interpretative range of fiscal law, Group Tax interfaces with other Corporate Center Departments such as Finance, Risk Management and Human Resources.

Responsibilities
As an Executive Assistant in this area you will be responsible for assisting the Regional Head of Group Tax-APAC, the Head of Group Tax – A/NZ, and the Group Tax team generally, including:
• Dealing with confidential information and matters, ensuring high level of discretion at all times
• Screening of email traffic and calls, diary management for Regional Head and ANZ Head of Group Tax
• Managing travel bookings and schedules
• Meeting co-ordination and liaison with senior management, staff, internal clients, external advisors and global counterparts
• Preparing presentations
• Preparation / collation of meeting materials
• Implementing a new file management and information retention system
• Taking minutes of internal meetings
• Scheduling team meetings/training sessions and arranging any necessary catering
• Drafting / mark-ups of correspondence and internal management presentations

The role will also involve significant Administration/Business Management Support responsibilities for the 8 to 9 members of Group Tax based in the Sydney office, including:

• Preparation of monthly American Express expense claims and invoice approvals / online processing
• Managing requests approval for interstate and international travel
• Monitoring and keeping senior team members aware of upcoming deadlines
• Maintaining Key Contact information
• Maintaining floor plans and coordinating office moves
• Managing new starter process for any new team members
• Managing stationery supplies
• Managing specific project processes on an adhoc basis

Requirements

• Experienced with Microsoft Office: Word (Advanced), Excel (Intermediate), PowerPoint (Advanced) and Lotus Notes (Advanced)
• Personable, team player who works well under pressure and tight deadlines
• Forward thinker, planner and trouble shooter
