Information and Records Officer (SharePoint Specialist)

Information Records Officer vacancy working for a very successful and globally known Investment Management company with over £270bn AUM.

As the Information Records Officer you will be sitting within the legal department working in a very friendly and open team. You will be the SHAREPOINT system expert and be primarily responsible for the maintenance and development of the SharePoint Electronic Records Management Systems (ERMS. In addition, you will be working with various stakeholders and provide support and training to ERMS users, develop, promote and implement a good working culture of good records management.

Your responsibilities will include but are not limited to:
-Roll-out ERMS across the business, engage with library owners and system users to implement and embed ERMS policy and procedures.
-Manage and maintain ERMS functionality: build and develop site libraries, lists, content types, site columns and navigation to promote efficient and effective document access, retrieval and use.
-Define and implement ERMS access models and manage and maintain access permissions.
-Provide first line support for user issues and requests; provide ad hoc user training and system demonstrations.
-Identify scope and deliver ERMS improvement projects.
-Write, maintain and implement straightforward records management policies and procedures to ensure that the organisation understands its responsibilities, staff know how to use the system and business areas can be confident that their records on the ERMS are controlled
- Monitor and report on ERMS content and user compliance.
-Design and deliver straightforward training (including demonstrations and presentations) and provide advice and support users on records management policies, procedures and practice to ensure that staff are equipped to carry-out their records management responsibilities.
-Be an advocate for records management and the ERMS, using the various communication channels available internally to raise awareness and promote records management and update and advise users.
-Work effectively with internal (and potentially external) IT teams to deliver more technical system developments and upgrades.
-Lead monthly ERMS governance meetings: organise meeting, prepare agenda, compile and circulate action log.

To successfully qualify for the role you MUST have:
-Postgraduate qualification in Records Management and solid records management experience.
-Excellent knowledge of Records Management principles and practices at an operational level and their implementation; good working knowledge of ISO 15489.
-Practical experience using and administrating Electronic Document and Records Management technologies (EDRM) experience in SharePoint would be an advantage.
-Ability to explain and advocate records management rationale at all levels; good negotiation and persuasion skills.
-Excellent IT skills (Excel) and high level of technical understanding with the ability to liaise effectively with IT Developers.
-Excellent interpersonal and communication skills.
-Excellent time management skills and work on own initiative with limited supervision.
