The role is based within the Ferrous Raw Materials department, reporting to the manager of ferrous raw materials department.
The successful candidate is likely to have practical secretarial/ administrative/research/ data collection experience.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Check news sources for power utility industry and minerals/natural resources industry on a daily basis for relevant information/data and provide timely summary of reports in Japanese/ English to the managers.
- Support the Managers in carrying out market research activity and prepare reports as required.
- Prepare internal/external documents, in both English and Japanese, using Microsoft Office (Word, Excel, and Powerpoint)
- Provide secretarial and ad-hoc administrative service/support to the managers in the Ferrous Raw Materials Department, and assist Managers with expense reports and other tasks as requested, including answering the telephone, taking messages, arranging meetings, filing/scanning/dispatching documents, maintaining the customer lists etc.
- Carry out various business trip and travel arrangements for the managers and incoming visitors (including air tickets, hotel bookings, transportation, preparation of application for expenses and other associated tasks etc)
- Settle invoices using the SAP system.
- Prepare time allocation records for Tokyo and collate supporting evidence as required, including documentation written in both English and Japanese
QUALIFICATIONS AND SKILLS REQUIRED:
Essential
- Articulate, with strong communication skills in English andJapanese, both orally and in writing
- High standard of organisation, accuracy and attention to detail required
- Microsoft Office (Word, Excel and Powerpoint) to intermediate level or above
- Excellent time management skills
- Ability to establish and build relationship with others
- Ability to work independently and as part of a team
- Ability to work on own initiative with little supervision
- Ability to work calmly and methodically under pressure
- Ability to prioritise and work within deadlines
Desirable
- Previous practical research and data collection experience
- Working experience in a company/organisation with international operations
- Previous experience of working in a Trading Company
- Knowledge of London, including transport systems, hotels, restaurants etc.
- Knowledge of SAP.
