Key Account Coordinator

REPORTING TO: Director of Sales/ National Accounts

 

ROLE SPECIFICATION

This operational role is integral to the success of the sales team. This newly enhanced position will support the day to day business in the development of Walmart’s, the largest retailer in the world. With exposure to both mass and the club channel, this multi dynamic position will play a key role in keeping these accounts on a growth track. Most importantly, this person will support the strategies that align with sales objectives and revenue plans for PIL.

 

QUALIFICATIONS

-          Sales and Marketing exposure; typically report to sales or marketing (2-3 years experience)

-          Bachelors in marketing, communication studies, business administration or sales

-          Course work to include marketing principles, communications, economics, finance, statistics, business and management

-          Interpersonal and written communications skills.  Team player.

-          Strong computer skills, particularly in Microsoft Office applications, are required (proficient in excel and Power Point a must).

-          Trade or customer marketing background, and experience working with sales organizations.

-          Candidates must also be strong project managers, prioritize multiple projects with little assistance and execute programs from start to completion. Self starter.

 

Presentation and product planning (seasonal and everyday)

Product order management

Forecasting and Inventory management

Managing, organizing and designing sales grids – updating daily

Internal liaison (procurement, manufacturing, inventory, creative)

JRS main contact (Customer Service)

Day-to-day buyer contact (Retailers and Distributors)

Manage Returns, Promo Spends, Cost To Service, Pricing grid documents

Facilitate corrugate needs (creative and managing order) for promotional programs

 

 

Presentation and Product Planning

Ø  Assist in developing presentations, product planning, development of grids and product/packaging ideas for accounts

Ø  Creating PowerPoint presentations

Ø  Maintain review of weekly product schedules; identify date changes, late shipments or pricing changes, that will impact presented or future programs

Ø  Maintain licensing and brand information retained for presentation to customers

Ø  Locate images and product descriptions from numerous sources

Ø  Requesting comps from creative team

Ø  Manage sample requests for meetings and on a customer request basis

Ø  Review customer meeting recaps; take action were required (may be required to issue a recap, it attended the meeting)

Ø  Attend client meetings

 

Item set up and Analysis of POS

Ø  Item set up into OTP, retail link, product submissions to various customers and distributors (internal product set up BOM, pricing and EAN)

Ø  Analyze weekly POS sales and update MASTER POS tracker

o    pull sales via Retail Link

o    Market baskets

o    Internal review of top performing skus by other accounts, via POS access in marketing, to identify new growth opportunities

Ø  Review ‘opportunity buys’ based on excess inventory, develop grids

Ø  Competitive Market Landscape

o    Comp shop (photo’s and review)

o    Identify out of department opportunities

 

                        Order Processing

Ø  Responsible for managing PO’s with JRS; review order accuracy (pricing, item numbers, qnty), track orders have arrived in timely manner to PIL, track shipment of PO’s in full to customer.

Ø  Inventory HOLDS when necessary

Ø  Review daily, weekly orders and communicate issues

Ø  Manages weekly maintenance Order/Ship Logs (PO Tracker)

o    Maintain summer page of tracker

Ø  Account follow-up on order issues – inventory, date changes, mix changes

Ø  Corrugate planning and execution – work with Inventory Team and JRS

 

Forecasting/Inventory Management

Ø  Forecast commitments and presented goods to secure inventory; both Mas90 and internal team interaction with product teams to produce goods based on commitments (monitor and update Mas90, when orders arrive – remove forecasts)

Ø  Update Master Forecasting Worksheets (date, product and WHEN/WHY order was committed), production plans (promotional or everyday – MASTER GRID, MATER FORECASTING WORKSHEET) and MAS 90 to reflect changes and answers from accounts

Ø  Planning future orders, reviewing current orders and problem solving w/Inventory Team

Ø  ACOR's – only if something is Sam’s Direct or items specific items

Ø  Safety testing; follow customer requirements and guidelines, report documentation when necessary

 

Returns

Ø  Process returns; Anderson Merchandisers, Sam’s Club and Wal-Mart (Levy and BTMS proceed currently through another sales group)

Ø  Complete returns one week from receipt

Ø  Obtain return authorization from JRS

Ø  Track return titles, quantities and dollars on master tracker

 

Promo Spends and Cost to Service

Ø  Manage Promo Spends and Cost to Service grid and documents

Ø  Review coop requests to make sure they benefit the business

Ø  Keep track of all promotional dollars in master grid

 

Travel may be included for buyer meetings and work with our Bentonville team.
