Overview of Division
The Department is currently made up of 9 solicitors, 2 paralegals, 2 support staff (including this position) and the Company Secretary.
The working environment is open, warm, cooperative and highly professional. Management are very approachable and we tend to have a flat structure. The team is sociable with support staff being included in all events. Overall this is a small and friendly team with all the resources and benefits of a large organisation.
Position Overview
To provide secretarial and administrative support to lawyers in the Legal Department and the Company Secretary.
• Provide high level of secretarial and administrative support as part of the Legal Department team.
• Type, format and prepare legal documentation, contracts, letters, faxes, emails, memos and presentations.
• Handling confidential information and ensuring its security.
• Liaising with internal clients and external parties.
• Working cooperatively with the rest of the legal team to provide top quality support for the whole Legal Department.
• A large component of this position requires general secretarial duties including some dictaphone typing, entering timesheets, filing, photocopying, binding, scanning, diary management for meetings and travel co-ordination, typing of confidential minutes of committee and board meetings, electronic lodgement of documents with ASIC and the ASX when needed.
Responsibilities
• Sound verbal and written communication skills and attention to detail.
• A willingness to learn.
• Excellent word processing required with a positive attitude to problem solving
• Word - advanced, PowerPoint - intermediate, Excel - intermediate
• Typing: fast, preferably 60 – 70 words per minute with 95%+ accuracy.
• Competence at operating and managing a variety of electronic systems.
• Team player with flexible attitude, able to take on work from various team members, manage • priorities, have a proactive / results oriented approach to tasks
