Duties and Responsibilities
- Day-to-day responsibilities involving assisting the GMTS Legal team
- Experience as a secretary or administrator in a law firm or for an in-house legal department
- Corporate secretarial experience will be advantageous
- Other responsibilities includes records management
- There may be an opportunity for this role to be on a part-time for the right candidate.
- Provide administrative support to the Legal department
- Maintain an effective filing system for the Legal department, including scanning of master contracts and original documents
- Assist with the processing of outside counsel invoices in liaison with other internal departments
- Assist with the maintenance of the legal library and team subscriptions to publications, including the research of potential new materials
- Other ad hoc tasks as required
Candidate Specification
1) Qualifications:
- Diploma in Law or equivalent
- Recent graduates from the Diploma in Law Management programme from local polytechnic will also be considered with a preference for candidates who have taken Shipping Law Practice.
2) Skills:
- Well versed with Microsoft Office computer skills (e.g. Word, Excel, Powerpoint, Outlook)
- Ready and able to exercise initiative
- Strong interpersonal skills
- Eye for details and ability to meet tight deadlines
- Strong written and verbal communication skills
- Strong organisation skills
3) Competencies:
- Able to cope with multiple priorities and changing environment
- Diligent and dependable
- Mature and professional attitude to work
- Able to work as part of a team as well as individually
4) Experience:
- Experience in legal secretarial will be of advantage
- Experience of working in the commercial/energy/shipping department and/or the legal department of a well regarding law firm or an energy company would be an advantage
