Responsibilities:
We are seeking a Team Assistant to join the Global Equities business to provide executive level as well as administrative support to the business head and their respective teams.
As an assistant within Markets you will play an integral role in ensuring the efficient running of your team. You will be the Personal Assistant to the head of the group as well as providing general administrative duties for their team. This will involve you having extensive involvement organising internal and external client meetings, arranging travel and accommodation requirements and managing related expenses, diary management including organising materials and resources for meeting and ensuring the security of confidential and sensitive information. You will be responsible for:
• Organising Equity corporate presentations (invitations, booking rooms, catering, confirming final guest list, place cards, uploading onto marketing calendar, IT requirements)
• Uploading analyst marketing schedules onto the Marketing calendar
• Itinerary preparation of schedules for offshore DB visitors corporate roadshows
• Dairy management, Answering phones, Organising internal staff meetings
• Booking car logistics for client roadshows
• Arranging domestic international travel and accommodation
• Updating client information and research distribution via Aspen database
• Copy typing, powerpoint presentations, printing, binding, photocopying general office admin
• Reporting IT problems - computers, phones and blackberrys
Requirements:
To be successful in this role You will have previous experience working within similar organisation, professional services or commercial business and be able to adapt to the fast paced environment. It is essential that you have advanced PowerPoint skills, a keen eye for detail, you are comfortable working autonomously and have a confident and assertive manner. Due to the nature of the position you must be discreet, have excellent organisational skills and be able to apply common sense when the situation requires it.
