Our company has an opening in its corporate office for the position of Office Assistant/Bookkeeper.

Job Responsibilities:

Office Duties Include:

 

* Forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.


* Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.

* Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing postage.

* Maintains office schedules via Microsoft Exchange.

* Serves as receptionist; answers customer questions; forwarding messages; confirming customer orders; keeping customers informed of order status; assisting with logistics and supporting the customer service manager.

* Researches and makes travel arrangements; provides administrative support to President and Vice President.

Bookkeeping Duties Include:

 

* Prepares work to be accomplished by gathering and sorting documents and related information.

* Pays invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment; ensuring all supporting documentation is available; cutting checks.

* Obtains revenue by verifying transaction information; computing charges and refunds; preparing and mailing invoices; identifying delinquent accounts and insufficient payments.

* Collects revenue by reminding delinquent accounts; notifying customers of insufficient payments.

* Prepares financial reports by collecting, analyzing, and summarizing account information and trends.

* Maintains subsidiary accounts by verifying, allocating, and posting transactions.

* Balances subsidiary accounts by reconciling entries.

* Maintains historical records by filing documents.

* Prepares financial reports by collecting, analyzing, and summarizing account information and trends.

* Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.

* Contributes to team effort by accomplishing related results as needed.

Skills/Qualifications:

Previous Receptionist/Office Assistant Experience

Previous Accounting/Bookkeeping Experience (Payables and Receivables)

Knowledge of GAAP
Ability to Analyze Information
