Office Manager
Part / Full-Time (30 – 40 hours per week)
Industry Partners, a leading commercial real estate development and brokerage firm, seeks a highly motivated, organized and detail oriented individual for the position of Office Manager. The successful candidate will be a team player and provide full administrative support to an experienced team of commercial real estate brokers and their respective clients. Therefore, the position requires a commitment to outstanding client service and an ability to develop and cultivate professional relationships.
RESPONSIBILITIES
· Provide administrative support to a team of four brokers.
· Act as a coordinator between brokers, clients and real estate firms to ensure that all documents are completed and distributed efficiently and accurately.
· Coordinate general office duties and administrative support, including 1) Filing (organizing, labeling, maintenance, etc.); 2) Drafting correspondence and preparing relevant real estate documents; and 3) Coordinating the disbursement of marketing materials.
· Maintain office/broker calendars, scheduling, setting up conference calls, coordinate internal/external meetings, etc.
· Handle high volume of phone calls both internally and externally.
· Coordinate appointments and travel arrangements.
· Maintain equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing.
· Maintain office supplies by checking stock to determine inventory levels, anticipating requirements, placing orders, tracking and verifying receipt, and stocking and organizing items.
· Forward information by receiving and distributing communications, including collecting and mailing correspondence; copying information.
· Oversee database updating and management.
· Contribute to a friendly and welcoming office environment.
SKILLS REQUIREMENTS
· Administrative experience preferred.
· Strong computer skills, using both Mac and PC, preferred.
· Experience using Salesforce.com preferred.
· Excellent interpersonal and communication skills.
· Strong writing skills, with experience managing business correspondence.
· High attention to detail, and an ability to juggle multiple projects.
· Ability to solve problems and maintain high standards, despite pressing deadlines.
· Demonstrate dependability and a sense of urgency.
· Demonstrate a high degree of integrity and confidentiality.
· Strong organizational skills.
· Enthusiastic self-starter with an ability to work independently.
