AlliedBarton Security Services is currently seeking to hire an Operations Support Assistant. This is a temporarily position that may last up to 6months . Salary for this position is $15 an hour. Individual MUST have a minimum of 2 years of administrative experience as well as customer service background and strong computer skills. Familiarity of winteam, payroll or scheduling a plus! Job Description: Supports Account Manager by handling scheduling, billing/invoice preparation and files, and, in some locations, tracking contractual compliance requirements. Assists in preparing reports and presentations of compliance materials for clients. List 5 key responsibilities in order of importance to job/department and estimated time spent on each in a given week. 1. Capably utilize WinTeam for scheduling and billing, and to produce reports (such as Scheduling Activity, Invoice Aging by Tiers, Training Summary and Training Detail reports) that require interpretation and action for effective business management. 2. Scheduling: Meets all contractual scheduled hours for each site assigned to the Roving Account Managers. Schedule employees to work at the sites were openings exist. 3. Standards Audit Compliance: Performs site audits utilizing the Operational Audit Standards as a guide. 4. Tracks and communicates contractual requirements to the management team. 5. Produces weekly and bi-weekly billing packages. Other requirements or competencies: * Demonstrable intermediate to advanced skill level with MS Word, Excel, Access, Outlook, PowerPoint. * Ability to integrate new software applications into daily work processes (such as WinTeam, Visio, etc.). * Experience with ABSS systems strongly preferred. * Excellent written and oral communication skills. * Ability to conform to complex procedures. * Ability to work in a team oriented management environment and to help identify and solve problems. * Ability to get along with other employees, follow directions, works under stress and continuously improves. * Ability to deal with internal and external customers and to ensure compliance with fair employment practices and perform multiple tasks simultaneously in a timely, courteous and professional manner.
