Personal Assistant / IT Service Management Coordinator recruitment
Responsibilities:
- Acts as an overall assistant to the IT Services Director for Asia Pacific and the Service and Project Management Team.
- Assist the IT Services Director in their daily administration including meeting preparation, complex diaries, travel and meeting management.
- First point of contact for the IT Services Director's office prioritising and delegating calls, email and meeting requests.
- Arranging conferences for the IT Services Director.
- Assist in management reporting collation of information and statistics.
- Project management assistance for IT Operations Projects.
- Assist in the co-ordination and implementation of new production management procedures.
- General administration support for IT.
- Assist with vendor management to build relationships with key suppliers across the region.
- Assist with providing procurement services for the region.
- Assist with SLA and contract management.
- Day to day administrative functions for the Hong Kong IT team.
- Ensuring all contracts are entered into a database (Rapid).
- Assist with asset management including software and hardware. Including updating any inventory database within the region.
- Minutes taking for Regional IT Director and team managers.
- Organizing travels and accommodation for Regional IT Director IT team members.
- Organization of the activities and other ad-hoc team/ social events i.e. IT Retreat.
Requirements:
- Minimum of three year's secretarial experience or equivalent organisational experience.
- Good verbal and written communication skills.
- Good English verbal and written skills (for communication across global network where required).
- Highly organised and can work with minimum direction.
- Strong skills in procedure development and implementation.
- Strong interpersonal skills with a "can do" attitude towards problem solving.
- Word, PowerPoint, Excel, FrontPage and Visio.
- Experience or knowledge of IT environments.
- Strong planning and organizing skills.
- Service orientated and an unflappable nature.
- Flexible and adaptable.
- Questioning nature.
- Self motivated but also a team player.
- Discretion and reliability.
- Good time management skills.
- Thorough and enthusiastic.
