Project Support Officer (Contract)
Main Function
To provide comprehensive administrative support to the Project Delivery Team (team of 9).
Main Duties
· Maintain accurate programme distribution lists
· SharePoint Administrator (managing access, approval levels, removing access for leavers etc.)
· Manage and monitor 2 Shared mailboxes, taking action and escalating appropriately to ensure all requests, issues and queries are completed and resolved
· Document Management – ensure version control maintained, documents being uploaded to SP in correct location, ensure appropriate archiving of all key documents
· Meeting Support: scheduling meetings, arranging room bookings with the project PA team etc.
· Track submission of regular reporting artefacts and attendance at delivery calls
· Prepare and collate inputs for Governance meetings / forums
· Support PDO Analysts and PDO Lead in updating key PDO artefacts
· Printing Packs for Senior Management Meetings
· Scheduling and organising Workshops
· Maintaining key programme Governance documents as required
· General PDO Management team support on ad hoc tasks where appropriate
· Maintaining holiday tracker for key personnel across the programme
Person Requirements
- Experience of working in the Financial Services Industry
- Experience of working on projects and/or providing support to a largeteam
- Knowledge of MS Office applications, particularly PowerPoint, Excel and Outlook
- Advanced computer literacy and an ability to learn new software packages (where required)
- Strong organisational skills, ability to manage a number of tasks simultaneously and deliver within tight deadlines (multi-tasking and prioritisation)
- Ability to work well under pressure
- Proactive
- A good team player
- Ability to communicate at all levels within a large organisation
- High level of written and spoken English and numeracy skills
- Strong interpersonal skills
