Opportunity
The Change Management team are responsible for managing and delivering retail projects across the whole of MG's Retail business. The team are in charge of diverse projects ranging from new fund/product launches, changes to existing funds, implementing regulatory changes and distribution initiatives such as launching into new countries.
We are looking for someone to join our team as a Project Support, providing administrative assistance on projects. The role will suit someone who is happy to work in a support role. The types of projects we work on vary and this offers excellent scope to gain knowledge of MG's business and, over time and after gaining some experience in the role, use this knowledge to add further value on specific projects.
This role will be based in MG's London office, with the opportunity to work from time to time in our Chelmsford office.
Key responsibilities
Work with Project Managers, providing administrative support to help them to deliver our projects.
Core responsibilities:
Assisting Project Managers by:
*Organising and attending project meetings and taking minutes
*Collating and circulating project documentation and minutes
Under the direction of the Project Manager, maintain, monitor and update:
*the project plan, documents, project information database (the project file)
*the Project Log (issues, risks, actions, decisions, lessons learned
*the project budget
*the resource tracking (timesheets and holiday chart)
*Circulating project communications and project progress within the business
*Complete some elements of the project deliverables as agreed with the Project Manager
*Escalate issues to the Project Manager as necessary
*May deputise for the Project Manager
What we are looking for
Excellent written English is essential: We need someone very used to taking minutes at meetings. It is important in this role to be equally capable of taking formal, structured, detailed minutes, or producing brief bullet point summary notes picking out only the key points of a discussion.
An ability to tailor written and verbal communication style to different audiences and levels of seniority is required.
An ability to 'juggle' diaries and arrange project meetings at short notice is a must-have. The role requires persistence at securing time in busy schedules and confidence to make judgement calls independently in order to make essential project meetings happen. N.B. there is a high volume of meeting organisation in this role.
We are looking for someone equally happy to work either on a 1:1 basis with one Project Manager and in depth on one project or to work at a more 'light touch' level on several projects with several different Project Managers at a time.
We are looking for someone who can balance working with more than one Project Manager at a time and who is able to manage conflicting priorities effectively.
It is important for us to find someone who is proactive and capable of working on their own initiative. The successful candidate will be someone who will be able to work effectively alongside a Project Manager who may not necessarily be based in the same location as themselves.
Because the types of projects vary, we are looking for someone who will proactively and independently seek out whatever learning is required to help them to support each project to which they are assigned. If the successful candidate does not have any prior industry knowledge then we will be expecting them to work hard to bring their knowledge up to speed as quickly as possible on joining the Company.
We are looking for a person who reacts positively to changing priorities and who adapts easily if asked to move on to new projects, as and when resource requirements change.
It is essential for this role to possess sound skills in Microsoft Word, Excel and PowerPoint and also Lotus Notes for both e-mail and diary management.
