Regional Assistant (Part-Time) – Express

Express is a specialty apparel and accessories retailer of women's and men's merchandise, targeting the 20 to 30 year old customer. The Company has over 30 years of experience offering a distinct combination of fashion and quality for multiple lifestyle occasions at an attractive value addressing fashion needs across work, casual, jeanswear, and going-out occasions. The Company currently operates more than 600 retail stores, located primarily in high-traffic shopping malls, lifestyle centers, and street locations across the United States, Puerto Rico, Canada and also distributes its products through the Company's e-commerce website, www.express.com.

The Regional Assistant is responsible for providing advanced administrative support to the Regional Manager of Stores. Manages the calendar and complex travel arrangements. Handles the management of communication to executives and vendors including taking and making phone calls, arranging meetings, reviewing and prioritizing mail, creating letters, and welcoming visitors. Uses technical and business vocabulary and has detailed knowledge of business operations. Manages special projects that may include creating presentations, charts and spreadsheets for meetings.

Main responsibilities include:
* Scan, respond to, and archive executive e-mail
* Ability to pull and analyze business reports for the Region and Districts
* Daily interaction with District Managers to communicate direction and gather information on store metrics and business initiatives
* Answer phones in a timely, professional manner; communicates on behalf of RM
* Manage executive calendar, schedule recurring and adhoc meetings
* Organize events and monthly meetings; coordinate awards
* Produce copies for meetings or as needed
* Prepare PowerPoint presentations and Excel charts/worksheets for meetings
* Maintain files and report notebooks
* Make travel arrangements for executives; prepare and reconcile expense reports
* Special projects as assigned

The successful candidate must possess the ability to:
* Prioritize incoming information and/or appointments
* Route correspondence as appropriate
* Manage complex business calendar and communicate changes to those affected in a timely manner
* Stay current on executive's priorities on a daily basis
* Arrange travel
* Complete / reconcile invoices and expense reports
* Greet visitors
* Maintain office supply inventory
* Prepare / track various reports

Additional Requirements:
* Bachelor's degree or equivalent experience
* 3 to 5 years experience as an Administrative Assistant in a fast paced, dynamic culture, required
* Advanced PC skills (proficient using Microsoft Windows, Word, Excel, Outlook, PowerPoint and the Internet)
* Strong verbal and written communication skills
* Attention to detail, follow-up and excellent organization skills
* Ability to communicate and interact with internal and external clients in a positive and constructive manner
* Ability to maintain confidentiality
* Ability to handle multiple tasks simultaneously
* Strong sense of urgency, adaptability, flexibility and resourcefulness
* Ability to exercise independent judgment
