JOB DESCRIPTION:
Job Summary
The Sales Support Specialist is responsible for providing executive support and generating reports as requested by Sales Operations. He/She ensures report data is accurate and increases the awareness of strategic account performance to stakeholders. Document and train others on production of standard routine reports. Be resourceful and solve business problems related to decision tools and reports. Actively develop and maintain a network of UPS contacts that can help solve problems.
Other Duties
Coordinates Sales Data Requests and Issues
- Collaborates with Business Information and Analysis (BIA) and Information Services to ensure application data is accurate.
- Collaborates with Product Managers to identify information required for clarifying data inconsistencies.
- Conducts meetings with stakeholders to discuss data findings and to obtain feedback.
- Creates stakeholder correspondence to convey report findings.
Retrieves and Validates Sales Performance Data
- Clarifies data requests to ensure the end product meets the requestor’s needs.
- Conducts thorough search of data sources (e.g., Data Warehouse [DWH], Enterprise Planning [ESP], Business Information and Analysis [BIA], etc.) to ensure pertinent sales data is captured.
- Manipulates retrieved data to ensure reports are presented in a user-friendly format.
- Contacts districts and subject matter experts to validate questionable information.
Analyzes Sales Report Data
- Reviews data generated from reports to identify discrepancies.
- Confirms the accuracy of data with BIA to ensure data integrity is not compromised.
- Compares data from previous and current reports to anticipate questions from requestors regarding the validity of data.
- Reviews formulas to determine data is accurately captured.
Responds to BD Management Requests
- Compiles Small Package reports to deliver volume information to BD management.
- Utilizes the Total Enterprise Account Management System to track BD opportunities.
- Gathers revenue information to produce corporate revenue and ad hoc reports.
- Provides administrative and sales support to assist senior BD management in task completion.
- Prepares weekly reports to highlight high-performing retail sectors.
Performs Sales Support Administrative Duties
- Acts as the departmental database and Structured Query Language administrator to ensure proper maintenance of BIA applications.
- Updates weekly activity reports to ensure accurate documentation of strategic account volume and revenue.
- Attends department meetings to support internal communication and provide updates on projects.
- Performs regular application updates (e.g., directory updates, reports, etc.) to provide current information and enhanced functionality to the field.
- Prepares written information to Sales staff to inform them of district, regional, and corporate initiatives.
Computer Skills
- Advanced skills in: Microsoft Access, Excel, PowerPoint, Word, Outlook, Internet, and SharePoint.
- The ability to learn other applications quickly.
Preferred Competencies
- Demonstrates a detailed understanding of logistics and supply chain concepts such as how supplies are acquired and how items are manufactured, distributed, and returned; makes recommendations for possible changes to solve supply chain problems on routine accounts.
- Demonstrates an in-depth understanding of company policies and procedures in a business area that apply in routine and specialized/limited situations and how policies impact business results; identifies potential problems with applying specific policies.
- Recognizes the basic impact of technology on UPS business, services, and processes; works with others to identify technological barriers to achieving desired objectives; maintains appropriate breadth and depth of technological knowledge for current work assignment.
- Addresses and resolves issues impacting information systems reporting; looks for ways to minimize report generation and required storage; modifies existing report formats; creates and interprets customized reports; integrates data, information, and documents from multiple software programs; writes more complex report queries.
