Specific Responsibilities and Requirements

A. Coordinates and facilitates activities of the Scientific Committee (SC) and subcommittees

  1. Communicates continuously and effectively with the SC, SC Steering Subcommittee, subcommittee leadership, and SC Leader in order to facilitate the business of the SC including problem identification and resolution;
  2. Solicits for membership to the SC and subcommittees and maintains membership rosters including curriculum vitae, affiliations, and specialties;
  3. Tracks SC membership participation;
  4. Plans and coordinates SC and subcommittee meetings and conference calls;
  5. Tracks and prepares SC and SC Steering Subcommittee call agendas;
  6. Prepares and distributes materials for full SC, SC Steering Subcommittee, and subcommittee calls and meetings;
  7. Drafts and distributes highly technical call summaries of meeting and conference call discussions;
  8. Tracks agenda action items to ensure accomplishment;
  9. Drafts and distributes correspondences, including memoranda of acknowledgment, protocol reviews, publication status, on behalf of SC and subcommittee chairs;
  10. Drafts, distributes, and interprets site queries from SC relating to new study proposals;
  11. Organizes and maintains archived electronic records of all SC and subcommittee business, correspondence and reviews including the SC Scientific Agenda and SOP;
  12. Maintains knowledge of SOPs informs SC Steering Subcommittee as needed.

B. Coordinates Reviews and Administers the SC Ballot Process; Coordinates solicits reviewers for protocols, DACS and NWCS;

  1. Drafts distributes reviews SC correspondence;
  2. Drafts ballots generated from scientific discussions and protocol, DACS and NWCS reviews;
  3. Compiles and communicates ballot results to the SC Steering Subcommittee and others as appropriate.

C. Plans, coordinates, facilitates, and communicates SC activities related to group meetings.

  1. Communicates effectively with Operations Center staff to plan, organize and coordinate leadership retreat and ACTG meetings;
  2. Coordinates and facilitates determination of meeting times, activities, speakers, space, and audio-visual equipment needs;
  3. Produces and distributes meeting material/packets;
  4. Attends annual meetings/retreats;
  5. Summarizes SC meeting sessions and coordinates follow-up activities.

D. Supports working groups, focus groups

  1. Facilitates participation, membership, and call queries for ad hoc groups;
  2. Assists with creation of email groups;
  3. Distributes agenda, meeting materials, call summaries as necessary.

E. Coordinate safety monitoring reviews for SC team-monitored studies

  1. Assists Steering Subcommittee to select study monitoring committee (SMC) reviewers;
  2. Coordinates calls serves as contact;
  3. Guides SMC on responsibilities, actions, timelines;
  4. Ensures completion of reviews dissemination of SMC results to DAIDS;
  5. Communicates with protocol chairs CTSs to ensure team-sponsored (TMR) reviews are completed and reviewed by the SC;
  6. Ensures that Team Monitoring review letter summaries are forwarded to DAIDS sites.

F. Generates reports

  1. Maintains communication with SC Steering Subcommittee and SC Leader to identify information needs;
  2. Develops, maintains, quality assures, distributes standard ad hoc reports for SC;
  3. Works with CTSs, Publications Coordinator, MIS coordinator to ensure accurate current summary data for studies in all stages of development implementation;
  4. Runs distributes SC Overview, Status, Publications Reports, ensures automated reports are current;
  5. Researches availability and accessibility of new required information, creates proposal for report format, and generates reports.

G. Operations Center Coordination.

    1. Serves as a resource for SC procedures;
    2. Acts as liaison between SC and Operations Center;
    3. Communicates with other Operations Center staff to coordinate SC activities;
    4. Communicates with SC Leader to identify SC leadership need for information and materials; conducts research as needed;
    5. Identifies concerns of Operations Center staff that may need to be shared with SC Steering Subcommittee in conjunction and with the approval of the SC Leader;
    6. Communicates SC issues, concerns, and decisions to SC Leader and Operations Center staff.

H. System improvement

  1. Initiates/participates in activities to improve overall quality of work work processes;
  2. Facilitates communication, problem identification resolution;
  3. Communicates with SC Leader SC coordinators for coverage during absences;
  4. Contributes to SC standardization and suggests mechanisms to achieve consistency across SCs;
  5. Updates SC SOPs.

I. Annual Report

  1. Collaborates with Operations Center staff, SC Leader, and SC Steering Subcommittee to ensure that SC and committee components of annual report are complete and on time;
  2. Researches information and database for information; creates and distributes reports as needed.

J. Additional duties may be assigned or positions may be transferred between functions or projects to meet requirements.

Required Experience

Bachelor's degree and one to two years of professional experience in a scientific or health related position preferred. Strong writing skills needed. Moderate proficiency in Microsoft applications.
