Secretary

This role sits in the Equity Capital Markets team. We are looking for a team assistant to provide administrative support to an extremely busy team in a top Investment Bank. As a team assistant in the Equity Capital Markets team you will have to undertake a wide range of administrative and secretarial duties with minimal guidance.

Your main responsibilities will be:

• Preparing general documents.
• Co-ordinating diaries and organising meetings, conference calls, lunch and dinner reservations, ensuring internal meeting room and refreshment bookings are made; highlight conflicting appointments and use initiative to resolve sudden changes to itineraries.
• Arranging national and international trips including accommodation, visas,etc.
• Submission of team’s expenses and co-ordination of deal expense accounts. Handle invoicing tasks/queries as required.
• Respond in a very professional manner to incoming telephone calls, and monitor and respond to incoming email and voicemail; deal with internal and external contracts including important clients to gather or relay information, including sensitive matters, which may require considerable diplomacy.
• Organising mail and faxes, courier services and ordering office stationery
• maintaining all filling systems
• Co-ordinating teams diaries, holiday planning and absence records.
The successful candidate will have the following attributes and experience:

• Ability to work independently in a high pressured environment
• Experience as secretary or team assistant in a Financial Services organisation
• Advanced knowledge of Word, Powerpoint, Excel, Outlook
• Strong communication skills
• University Degree is a must
