Description

Purpose: (brief statement of why the role exists, what it is expected to achieve for the business) The primary role of the Trade Capture Assistant Manager is to ensure the smooth operational performance of Trade Capture to its downstream users incorporating liaison with Clients, Custodians and other internal departments to ensure the service provided is to a high standard and financial or reputational risk is avoided. The role involves managing a team of staff engaged in trade processing to ensure they carry out their designated function and duties to a high standard, with accuracy and on time.

This role is captured by BNY Mellon's Training and Competence (TC) scheme which requires you to attain competence in the role within 24 months and maintain competence thereafter. You must comply with the Company's policies and procedures in place to ensure compliance with such requirements.

Principal Responsibilities: (5 - 6 key elements for which job holder is responsible)

Measures of success:

Manual Entry of trade data

Volume of manual trades monitored to maintain minimal manual intervention thus ensuring Valuation content is in line with Regulatory and Client requirements

Responsible for management and control of daily trade administration

Volume of Manual trades versus STP monitored

Client satisfaction that all trades have been processed accurately and in time, as per defined SLA

Reconciliations team have no exceptions of the InvestOne platform against the Custody platform

Understand the theoretical and technical nature of all asset types and complex securities on InvestOne

Monitor daily processes and controls to ensure procedures and being adhered to

Ensure appropriate levels of supervisory oversight

Ensure trades team are escalating items that cannot be processed. Assess root cause of such items

Client/Custodian Relationship

Build and maintain relationships with clients and / custodians in order to ensure that highest possible levels of trade automation are achieved

Volume of Manual trades versus STTP monitored

Reduction in manual entries through increased STP

Ensure TCM Support Group provide accurate and timely services to all internal parties

Resolution of Queries

Receive, investigate and resolve escalated queries from other operational areas, Clients and Custodians thereby ensuring service provided remains high.

Review and resolve IMS queries within 24 hours. Effective escalation of aged queries to Group Manager

Immediate resolution of NAV critical queries

Positive feedback from query resolution

Ensure teams level of investigation and resolution of items is full and complete before the next client SLA

Provide necessary technical and escalation support to ensure all issues are identified / investigated and resolved to facilitate meeting of SLA

Changes to procedure or process following investigation of internal practice are communicated

Increased awareness of why ongoing queries remain outstanding

Thorough reporting of major issues to Senior Management with positive resolution

Interdepartmental Relationship Building

Build and maintain relationships with other areas and individuals within the Fund Accounting process cycle to ensure an efficient operating model for the onward transmission to the subscribers of Trade Capture output.

Positive feedback received from other areas of Fund Accounting

Positive feedback from data vendors

Regular meetings held with other departmental areas and vendors

Positive client feedback from presentations received

Positive response and review by both internal and external auditors

Build and maintain effective and professional working relationships across all departments to support business objectives

Resource management

Lead, manage and motivate the team to ensure that the capability exists for it to work effectively and in close cooperation with colleagues in other functions/operations in order to meet business needs and deliver strategic objectives.

Regular review of skills matrices for team members

Low attrition rate

Recruited staff adhere to or surpass the timing of the training plan

Flexibility in attendance to support completion of team and department goals

Monitor team workflow, ensuring all tasks are allocated with appropriate process and check cover

Distribute workload and responsibilities to staff with sufficient experience and capacity

Lead an engaged team. Promote positive moral

Conduct regular one-to-ones. Ensure staff have clear objectives and personal development goals

Conduct regular team meetings to update staff on relevant developments and get feedback on operational issues

Manage overtime requirements

Manage planned / unplanned absence. Responsible for accurate completion of staff absence documentation within BNYM guidelines

Identify and communicate new staffing requirements to line management

Assist with team recruitment

Work closely with Learning and Development to identify, control and document all training and competency requirement for team and self

Coach and support section managers of team in production and delivery of mid-year and final year appraisals

Project work and Quality Control

Active participation in team project work and product change. Involvement in MIS reporting and Quality Control reviews.

Work on ad hoc projects and initiatives to ensure agreed client services levels are met

Maximise the benefit of existing services to improve automation and efficiency

Active review and update of working procedures to identify and support change requirements

Positive feedback is received from stakeholders

Ensure no material audit issues arise by identifying, reporting and addressing potential risk areas

Update current statistics for management information system (MIS) pack

Decision Making Authority ( limits of authority in taking decisions, any shared authorities, what policy/procedures govern decisions, signing authority for e.g. recruitment, purchase, credit, loans, authorising new business etc)

Departmental and BNY procedures are to be followed.

Relationships: (key relationships and contacts, both internal and external which directly affect success of the job holders activities)

External Auditors and occasional direct liaison with Client (can involve external Compliance Depts)

Internal - Other areas within data services, IMC, Client Services, Dublin Office and Compliance

Qualifications


Experience: (type and length of technical and/or business experience/track record needed specify whether essential or preferable)

• Previous experience of managing a Team

• Knowledge of securities administration and valuations functions

• Knowledge of OEICs and Unit Trusts advantageous

• Understanding of different Asset types advantageous

• Previous exposure to exotic or OTC instruments advantageous (e.g. Derivatives, SWAPS)

• Proficiency in using Bloomberg, InvestOne and Microsoft office systems (Excel, Word, Powerpoint)

• Experience implementing controls and writing procedures

Qualifications and Training: (academic, professional and/or banking qualifications; specify whether essential or preferable)

• Minimum of three years experience in a managerial role

• Minimum of three years experience in an area of financial services

• Minimal education standard is 5 GCSEs, including Mathematics and English
