Senior Administrative Assistant
Role Overview
The primary responsibilities of the Senior Administrative Assistant will be to provide administrative support to Head of Office/Banker(s) and to other members of the office as designated. Undertake duties of a general clerical nature.
The role is mainly focused on general administrative tasks, but the incumbent may be required to provide full secretarial support to professional staff. This is a short term maternity cover role for 18 months.
Essential Skills, Experience and Qualifications
- Implement and maintain basic and routine administrative procedures
- Process invoices and payments
- Handle petty cash
- Arrange meetings and travel
- Assist with secretarial duties as required, including filing, photocopying, screening of telephone calls, drafting correspondence, keeping diaries
- Co-ordinate regular maintenance of the office (for example: maintain office inventory, purchase office supplies and equipment, liaise with landlord, supervise repair works, liaise with Security company)
- Liaise with HQ Administration, Human Resources and other departments for relevant issues when necessary
- Act as IT co-ordinator
- Co-ordinate use and maintenance of RO car(s)
Essential Skills, Experience and Qualifications
- At least five years' secretarial / administrative experience
- Higher education or relevant qualification from a specialized college is desirable
- Fluent English and Russian both written and spoken
- Computer literate: Windows NT: Microsoft Outlook, Word and Excel. Knowledge of SAP accounting system desirable
- Ability to learn new systems quickly
- Good level of numeracy
- Attention to detail and high degree of accuracy is essential
- Good report writing skills and drafting ability
- Excellent administrative and organisational skills
- Expected to work on own initiative on a day to day basis
- Good communications skills including a pleasant and efficient telephone manner
