Position Responsibilities
The Senior Portfolio Administrator is responsible for executing the day-to-day processing of new accounts, terminations, and data point changes for existing clients.
Specific job responsibilities include:
Assist with the maintenance of procedures manuals and continually assess processes for improvements. Communicate with PA team and Account Administration management to ensure a successful group effort.
Facilitate all necessary aspects of new account preparation, funding, and investment, including:
o Coordinate the preparation and receipt of new client contracts with Client Services. Create contract file with all documentation necessary for compliance purposes.
o Track pending accounts and update managers and administration staff as to their progress. Make arrangements with custodians to prepare for account funding (e.g. open accounts, prepare paperwork, gather contact information).
o Set up new accounts in Axys (portfolio management system) and LVTS (trade order management system). Determine reporting requirements for new accounts and set up report packages in Packman and assure that special reporting requests are set up as necessary.
o Work with Client Services to determine any account restrictions and set up on systems as needed. Write compliance rules for Compliance system when necessary.
o Notify managers and traders of new account funding and coordinate with them to assure timely initial investment of assets.
• Close accounts upon client termination assuring liquidation, if necessary, internal systems close, and receipt of appropriate documentation.
• Implement and track any requested changes to account information during the life of the account including updated contract information, custodial moves, settlement instruction updates, reporting requirement changes, mergers or splits of accounts, and contact, address or account number modifications.
• Update and maintain various reports for internal distribution including quarterly 13F data report, daily Mutual Fund Compliance Report, daily performance check, and index update.
• Assist with client reporting and various Account Administration responsibilities as assigned.
Necessary Skills/Qualifications
- 5 - 8 years of experience in Financial Services industry.
- Knowledge of Advent Axys (portfolio management system) and Longview Trading (LVTS) and Compliance systems.
- Knowledge of Advent APX is a plus.
- Superior Microsoft Excel skills and knowledge of Word including mail merge function.
- Bachelor’s Degree in Business or related field.
- Exceptional attention to detail and accuracy.
- Ability to multitask and prioritize.
