Corporate Services and Real Estate (CSRE) acquires, develops and manages the firm’s global real estate portfolio and delivers innovative and commercially managed market development, document management and hospitality related services.
CSRE’s areas of responsibility are Real Estate, Business Services, Finance and Administration Communications.
• Business Services delivers high-quality, commercially managed services to internal partners throughout the firm.
• Real Estate plans, builds and operates the firm's facilities worldwide, and is critical to ensuring that our core businesses operate efficiently 24 hours a day, 7 days a week.
• Finance, comprised of regionally based teams and a central hub in Bangalore, India, provides financial analysis, decision support, procurement, contract administration and reporting for all initiatives within the Services Division and for business partners across the firm.
• Administration and Communications oversee organizational development and internal and client communications.

Position Summary

This role reports to the Lead for Procurement and Contract Management for Asia-Pacific. The successful candidate will support procurement and vendor management strategies for projects across the Firm in the region. Procurement team members are based in Singapore, Australia and India.   

Principal Responsibilities

• Partner with CSRE functional team to support the development of commercial strategies to support delivery of projects across Asia-Pacific
• Provide analytical support in aspects of the vendor engagement process through to contract conclusion
• Develop tender documentation
• Review general provisions or riders to ensure conformance with legal and risk management requirements
• Communicate progress and decision points for procurement projects to relevant functions (Real Estate, IT, Finance, Legal, Regional Management), maintain key documentation of approvals where required
• Create of contract summaries and assist the project team with contract interpretations
• Monitor vendor and consultant compliance with policies, procedures and contract terms
• Negotiate change orders where required
• Manage the relationship with internal and external legal counsel to optimize delivery of service
• Ensure both vendors and project managers comply with contract administration processes and procedures, and manage ongoing commercial aspects of key vendor relationships
• Develop or refine contracts and procurement process which incentivize vendors to meet the Firm’s objectives, and adhere to the Firm’s business principles, industry best practice, and professional standards
• Measure and manage vendor performance, assess effectiveness and competitiveness of the procurement process, highlighting issues and proposing solutions
• Develop strong working relationships global real estate procurement colleagues and establish a robust connection with functional leadership in New York
• Identify opportunities to maximize the value derived from the firm’s vendor relationships

Experience / Skills

MANDATORY
• Minimum 5 to 8 years experience working in a procurement and/or supply chain capacity
• Experience of implementing and managing Master Service Agreements
• Excellent skills in managing projects involving many functions (Real Estate, IT, Finance, Legal, Regional Management)
• Strong sense of teamwork, experience of working in global teams, and ability to create partnerships within the organization

PREFERRED
• Strong organizational skills and ability to manage multiple complex projects
• Proven interpersonal and communication skills with experience of building relationships in Asia-Pacific
• Professional and measured approach that has creditability within industry and with peers
• Impeccable attention to detail and excellent problem solving and analytical skills
• Strategic thinker with strong implementation ability
• Bachelors/Masters degree in a related field or relevant industry qualifications (e.g. ISM, CPM, CIPS etc.)
• Willingness to travel in Asia-Pacific and internationally to advise teams and resolve issues wherever required
• Proficiency in business communication (both verbal written) in Japanese language
• Prior experience of living and doing business in Japan would be an added advantage
