Spares Coordinator
We have an opening for a Spares Coordinator to join our busy and growing team in Hemel Hempstead you will take responsibility for several customers and all associated tasks including order entry, processing invoicing, stock control and monitoring.
Experience within an inside sales and order entry/processing environment, excellent written oral communication and good Microsoft Office skills are all desirable.
Candidates should thrive under pressure, possess excellent time/workload management skills, be organised and have enthusiasm for their work and life in general.
Responsibilities include (but are not limited to):
· To enter order, quote and price enquiries from customers and engineers via telephone email quickly and efficiently onto the computer system and to process through to final invoicing as required.
· To liaise with suppliers to provide customers and engineers with sales prices and stock availability information as requested.
· Assist engineers Product/Sales Managers with any queries that may arise including the identification of parts, pricing and availability.
· Maintain good working relationships with supplier main point of contacts, customers and Engineers Product Managers.
· To assist customers, when necessary and possible, with identifying parts from descriptions and/or diagrams.
· To liaise with the accounts department for Pro-Forma orders, customer account status and assist in chasing overdue payments where necessary.
· Notification to colleagues within the department regarding changes to supplier processes and contact details.
· To generate new part ‘cards’ on the system, complete with correct pricing information and to maintain and update existing system files as necessary.
· To liaise and agree with the warehouse department on the appropriate stocking levels for any new parts added to the system.
· To communicate with customers and suppliers directly to process and monitor the progress of any urgent direct deliveries for customers or engineers.
· To monitor the progress of all orders and invoice them as soon as possible.
· To process credits to customers and support the warehouse to resolve warranty issues in an efficient and timely manner including chasing items for delivery, collection and processing.
· To attend and provide input on departmental and company meetings regarding processes and other agendas.
· Support team members when required and undertake any other tasks that may arise.
This is a fast paced environment so the ability to think on your feet, prioritise workload and enjoy being busy is essential
