Supervisor of Administrative Support Regional Parking/National Facilities Services Oakland, CA Kaiser Permanente is seeking a Supervisor of Administrative Support Services based in Oakland, CA supporting Regional Parking. This individual makes sure garages are open in the morning, Covers while manager is on vacation, sick or offsite. Helps in office on a daily basis. Audits and reconciles payroll deductions from 5 different payrolls, contacts and collects parking fees from employees that were not deducted. (approximately $90,000. per month) Helps with employee pay validation sales of an additional $30,000. per month. Reviews consolidates and reports departmental recharges of $10- 20,000. more per month. Picks up daily revenue from parking locations reviews, audits, reconciles and consolidates daily reports of $15 - 25,000. more per month Essential Functions: - Independently manages day-to-day activities of a team (2 or more) to ensure proper coverage of administrative support function is provided for an organization and/or multiple departments. (40%) - Proactively develops instructional materials and trains team on standardized administrative processes/procedures for most administrative duties performed. (20%) - Interfaces with department management to ensure administrative support needs are being met and staff has proper skills, knowledge, and training to perform their jobs. (15%) - Provides back-up support to Administrative Assistant team on complex/special projects for department head, managers and/or staff members. (15%) - Responsible for employment, training, compensation and performance activities for assigned employees. (10%) Qualifications: Basic Qualifications: - Minimum of 8 years of administrative assistant or support role with increasing scope and discretion. - Minimum of 2 years of supervisory experience or a minimum of 3 years as a Lead Administrative Assistant/Executive Assistant with informal supervisory responsibilities. - High School Diploma/GED. * Requires strong MS Office Skills - Access, Word Excel - Ability to learn and apply a thorough knowledge of KP's policies, practices, standards, and systems. - Applies business theories/concepts to accomplish significant department projects and/or initiatives. - Ability to manage a team and establish processes and procedures to ensure consistent, quality administrative support across a department/function. - As a skilled supervisor, completes tasks in creative and effective ways, using knowledge of organization's operations, policies, procedures on special key and critical projects. - Ability to learn and apply HR policies as it applies to managing staff. - Ability to work with diverse employee workforce; must demonstrate diplomacy. - Requires ability to learn and apply an expert understanding of a large complex organization and its customers.
