The Business Unit
Client Services is often described as the engine room of Colonial First State, as the primary functions of this team include providing the best customer service experience to our clients through product administration and contact centre services. But Client Services is much more than just an operational centre.
Purpose
To provide direct support to Dealer Groups and Advisers writing business for Colonial First State as well as supporting other areas of Colonial First State involved in Retail Distribution.
Work of the role
To complete work processes and activities throughout the day, these include establishment of new advisers and dealer groups, Datafeed queries, Investment Link queries, process book transfer of clients from one adviser to another, FirstWrap registrations, Issue PIN OIN for FirstNet Adviser or FirstNet Dealer, updating adviser's and AOTA's on client accounts, updating adviser contact details and answer queries from retail intermediaries.
You will also:
- Communicate proactively with other areas of business on issues that may arise which will affect them.
- Process commission processes to ensure all payments are made and data is sent within 5 working days.
- Proactively manage communication with interstate offices on various issues.
- Be responsible for ensuring Colonial First State Values and standards are followed at all times.
- Manage individual performance and development with Team Leader.
- Actively participate in team meetings
- To continually review processes and systems being utilised with a view to improving the efficiency and effectiveness of the team.
Skills
We are looking for highly motivated people with the ability to achieve targets in a busy and customer focussed environment. You must be a quick learner, computer literate and above all have a strong focus on customer service which is inherent in everything we do.
- Able to prioritise and address multiple conflicting requirements
- MS Office - Word, Excel, Outlook
- FMS - particulary commission and Dealer/Adviser functionality/Insight Consona
- Able to communicate effectively with team members and other areas of the business
- Team focused communicator, with good interpersonal skills
- Ability to work in a team environment to provide excellent customer service
- Strong eye for detail and willingness to tackle issues beyond 'own' role as required
- Ability to identify problems and help provide creative solutions
- Be able to work within deadlines and prioritise work
- Proven success in a process driven client service role
- Utilise workflow and imaging systems
- Efficient with a focus on quality
