Qualifications:
3+ years of experience in Commercial Office Property Management. Bachelor's degree required.
Job Description:
- Audit and approve vendor invoices for payment in accordance with the client's accounting procedures. Invoices should be coded accurately with minimal errors. Review all vendor invoices for accuracy and compliance with vendor contract and the client's accounting procedures. Prepare vendor invoices for payment. Prepare vendor invoices for approval by supervisor and issue to appropriate accounting department for processing. Ensure this process takes place in an accurate and timely fashion.
- Monitor and apply rental payments in accordance with accounting procedures.
- Assist in preparation of reporting as directed. Assist in reviewing and auditing monthly accounting reports.
- Assist in the development, communication and monitoring of property budgets on a timely basis in a manner that supports the financial expectations of the client and allows the property to remain within budget. Audits initial property budget drafts. Monitor compliance with established budget. Document budget variations and communicate them to appropriate parties. Assists in collecting overdue payments from customers.
- Assist in overseeing and evaluating the daily activities of engineers, concierge, parking personnel and vendors, providing recommendations relative to tenant service improvements. Conduct monthly inspections of the property and prepare a written report outlining inspection findings. Initiate corrective action as needed.
- Review daily security reports and initiates follow-up actions as appropriate.
- Assist in the following: administration of all service contracts for the property, soliciting bids, evaluating proposals.
- Maintain rent roll, stacking plan, rollover plan and leasing book as needed ensuring that all information is kept current at all times.
- Ensure by example and direction that all team members and vendors demonstrate The Irvine Company's commitment to superior service according to the Irvine Company's Properties Mission Statement.
- Provide next day follow-up with all tenant service requests assuring satisfaction with response time and resolution.
- Assist in planning tenant appreciation activities.
- In coordination with the Customer Committed Director, develop and maintain marketing strategies for customers to assure the continued success of each building through customer retention.
- Other duties as required and directed by the General Manager.
Additional Qualifications:
- RPA candidate desirable.
- Proven verbal and written communication skills.
- Extensive knowledge of Word, Excel, and Outlook.
- Experience using organizational or administrative skills.
- Real Estate License.
- Ability to establish strong interpersonal relations with team members, tenants and vendors.
- Strong organizational skills, ability to prioritize work and attention to detail
