Executive Assistant, Institutional Sales recruitment
Key Responsibilities:
• Handle a busy travel schedule from start to finish, including planning trips, making travel arrangements, arranging meetings, and coordinating schedules with other travelers
• Proactively manage schedule for the President, Institutional, booking and confirming meetings, regularly re-shuffling priorities in light of new opportunities and responsibilities
• Coordinate all correspondence: Answer and screen all calls appropriately, sort and prioritize all incoming mail, and correspond with others on behalf of the President, Institutional
• Develop new efficiencies, organize and improve current processes for Institutional Sales Team
• Attain a solid understanding of Forward’s product and services offering, of its clients, and of its Institutional business development strategy and opportunities.
• Coordinate with outside consultants.
• Work with Events Team to manage, coordinate and run offsite meetings and Institutional Team events
• Prepare monthly expense reports for President, Institutional
• Handle all manner of special projects as they arise
• Assist in creating marketing materials for the Institutional Sales group on an as needed basis
• Enter all meetings, track leads and log activity into SalesForce; create and update contact records in Outlook and SalesForce.
• Develop agendas for all Institutional Sales Dept. meetings
• Maintain organizational spreadsheets and systems to track activity, such as travel arrangements, expenses and logistics
• Maintain files and document archives
Qualifications and Experience:
• Possess the resources and ingenuity to creatively, effectively, and expediently get things done, often when little or no direction is provided
• Proven ability to efficiently prioritize and shuffle tasks in a fast-paced environment while maintaining a positive attitude
• The ideal candidate will have a proactive, enthusiastic, collaborative nature, a commitment to the team, and a desire to constantly improve
• Comfortable and confident in dealing with high-level Executives and VIPs,
• Excellent verbal and written communication skills and a highly polished, professional demeanor,
• Exceptional organizational skills and meticulous attention to detail,
• Extensive experience with Outlook, Word, PowerPoint and Excel, familiarity with Salesforce.com, a plus,
• 5+ years of previous administrative support with increasing responsibilities
• Bachelor’s degree preferred.
