Executive Assistant / Office Manager
BlueGate Partners, LLC is seeking an enthusiastic, professional self-starter is sought to fill a new Executive Assistant/ Office Manager position in a boutique Commercial Real Estate Investment firm. This is a high profile position with exposure and interaction with executive leadership and top level clientele. The perfect candidate will grow with the firm and have many areas of responsibility.
Job responsibilities include:
- Supporting management in their business endeavors (correspondence, travel, expenses, marketing, etc.)
- Managing the office (supplies, phone and internet systems, copiers, licneses, etc.) and coordination with the firms NYC office
- Organizing and maintaining all office files and documentation
- Scheduling / maintaining calendars and coordinating meetings conferences
- Updating information in CRM database and/or spreadsheets
- Preparing and sending materials to clients or prospects
- Processing and distributing all incoming and outgoing Mail
Qualifications:
- Minimum 3 years related work experience
- Ability to effectively multi-task and prioritize with minimal supervision
- Strong communications and organizational skills
- Ability to interact with senior level executives
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint
- Prior experience with Customer Relationship Management software a plus
- Ability to recognize and maintain confidentiality
- Must be able to operate standard office equipment including telephone, calculator, computer, printer, fax, and copier
