Job Description:
ICF International is seeking an Office Manager responsible for providing administrative/office support to our Ann Arbor, MI office within our Energy, Environment Transportation Group. The Office Manager is responsible for implementing and maintaining on-site administrative, procurement, asset management and security systems to ensure the integrity, smooth effective operation of the Ann Arbor office. The selected individual will responsible for supporting an office of 9 colleagues and a geographically disperse team.
Key Responsibilities:
- Provide day-to-day administrative functions including daily mail duties to include couriers and various functions in support of management.
- Maintain project reports, complete expense reports, prepare invoices for payment, draft and edit correspondence and coordinate corporate initiatives.
- Tasks will include scanning, filing, maintaining calendars and coordinating resources and materials required for meetings, presentations and trainings.
- Responsible for tracking company subscriptions, organizing and ordering office/kitchen supplies, and providing general office management.
- Plan internal meetings and coordinate travel and client meetings and conferences.
- Liaise with ICF’s headquarters on administrative matters i.e. IT, HR, Facilities, Accounting, etc.
- Contact Management.
- Sales planning assistance.
Basic Qualifications:
- High School degree.
- 5+ years of administrative/office manager experience in a professional services firm.
- Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
Preferred Skills/Experience:
- Some college level education.
- Experience working in a consulting environment.
- Experience/Exposure to SalesForce.com.
- Experience/Exposure to SharePoint.
Professional Skills:
- Excellent written and oral communication, organization, and prioritization skills required with a high level of accuracy and discretion is essential.
- Must have experience working independently and with a geographically disperse team, possess strong problem solving skills, and be able to respond effectively to changing priorities.
- Demonstrated outstanding level of professionalism in providing administrative support, including ability to exercise good judgment, discretion, tact, and diplomacy.
- Sound business ethics, including the protection of proprietary and confidential information.
- Ability to work with all levels of internal staff, as well as outside clients and vendors.
- Superior interpersonal skills including courtesy, professionalism, and a cooperative attitude.
