Team Description

This role will support the EMEA Head of Risk Architecture who is based in Canary Wharf, London. The function is spread across London, Manchester Brussels and t he objective of the function is to manage the end to end processes, data controls and reporting required for stress testing and ICAAP across EMEA.

Role Description

The incumbents primary responsibility will be:

Committee meetings management to include collation of materials and agendas, minute taking and production, manage attendance scheduling for a range of highly technical subjects in support of the ERA function and Terms of reference maintenance.

Workshop scheduling, material collation and minute production

Management of action plans arising from workshops and committees

Project deliverables coordination

General ad hoc PA / Administration duties

Calendar management

Local and global travel arrangement

Hiring coordination and IT requests for new starters

The incumbent must organize workshops and committee meetings, as well as scheduling requirements into existing committees as well as maintenance and preparation of audit files for regulators.

Qualifications

Key Requirements

The incumbent must have a high degree of competency for taking accurate committee notes either written, teleconference or via recordings. He or she must be an excellent forward planner to allow deliverables to be communicated through transparent planning and ensuring timelines are met.

The candidate must come from a financial services background and be a quick learner to enable understanding of highly complex and technical conversations in specialist committees. Strong knowledge of administrative tasks within a large financial organization with substantial global presence.

The incumbent must have experience in managing stakeholder relationships across a range of levels. The incumbent will be required to attend senior level committees and Boards as MDs support staff

The incumbent must be well organized and competent in the use of a variety of computer software and spreadsheets; e.g. Microsoft Word, Excel, Access and Power Point. He or she must have a high level of interpersonal skills to handle sensitive and confidential issues. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be highly competent at preparation of formal committee packs, highly accurate committee minute taking and action tracking.

The role holder must have a very high standard of communication ability, which is to both articulate and embrace the company values of inclusiveness, consultation and teamwork. The role will be a key part of the wider management team and therefore it is vital that the role holder has the capability to engage with a wide range of senior management, peers and more junior level staff on an equal basis.

Very strong organization and planning skills (i.e. ability to manage tasks to a schedule), willingness to work long hours when required and ability to work within a team. Knowledge of Microsoft Office packages.

The role holder should be able to deal with multiple stakeholder relationships effectively. The role holder will regularly interact with peers, junior staff, senior managers and executives and Board members across the region.

He or she must also be a proven team player, and be willing to be flexible enough to support the rest of the team when deliverables must be met, as well as being able to support and be aware of wider team deliverables.

Degree level and / or relevant practical experience in diary management and PA duties as well as minimum 8 years relevant experience in providing admin support to ideally Stress testing / Risk Management functions within large Financial Institutions. Overall strong communication skills, highly organised and in depth experience of management of MD level diary and emails.
